What are the responsibilities and job description for the Receptionist/PRS position at CenExel?

CenExel Clinical Research and its fully owned and operated Centers of Excellence (research sites) provide unparalleled medical and scientific support in the design and execution of clinical trials. Each of our research sites specializes in Phase I to Phase IV clinical trials. Our Centers of Excellence comprise some of the country's most well-respected and long-standing research facilities. Specialty areas of research across our sites include Psychiatry, Acute Post Op Pain, Asian Bridging, Dermatology, Movement Disorders, GI, and Neurology. Each of our Centers of Excellence has tremendous experience and expertise in complex early-phase trials, and all our sites have in-patient capability.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

 

  • Greets visitors and direct them to the right person or department.
  • Provide information to visitors and answer their questions.
  • Manage and file patient sign in sheet.
  • Answer/forward calls and take messages.
  • Manage FCR’s general email and calendar.
  • Remind patients of upcoming appointments at minimum one-day prior.
  • Maintain an organized reception and conference room area.
  • Manage inventory of office supplies and equipment and order as needed.
  • Provide support to the CRC and recruiting/pre-screen team.
  • Distribute mail, faxes and packages promptly.
  • Perform data entry and filing activities as required.
  • Schedule, reschedule, and cancel appointments.
  • Ensure patient urine drug screen, height/ weight is complete at pre-screen and scheduled visits.
  • Perform ID checks and makes copies at the in-person pre-screen appointment.
  • Updates patient demographics in patient database system.
  • Prepares subject payment cards.
  • Assist with chart preparation for upcoming visits.
  • Request medical records.
  • Become familiar with active and upcoming study protocols.
  • Recruit subjects by informing them about upcoming studies to enroll.
  • Assist teams if needed.

 

EXPERIENCE & SKILLS

 

  • Demonstrated expertise in:
    • Customer service
    • Microsoft programs such as Outlook, Word, Excel
    • Medical terminology

PHYSICAL DEMANDS/WORKING CONDITIONS – Standard operating hours are Monday through Thursday, 7:00. to 5:00p.m. Requires prolonged walking, standing, some bending, stooping and stretching.  Requires hand-eye coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.  Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports.  Requires occasional lifting of boxes up to 50 pounds.  Work is performed in a medical office environment and includes exposure to blood-born pathogens and bio-hazardous materials.  This role requires the ability to work with a broad range of personalities and medical/psychiatric diagnoses disorders; therefore, candidates must possess the ability to resolve conflicts immediately and diffuse potentially escalating events before they occur.
