JOB TITLE: RECEPTIONIST/FRONT DESK
STATEMENT OF DUTIES: Maintains a timely greeting; registration; collection of copays, etc; flow of patients to physicians; last to see the patient; determine charges; arranges for payment; and answers patient=s questions. Log in any charges and appropriate data for billing into the computer as applicable.
EDUCATION: High school diploma or GED required. Completion of courses in medical terminology, business, math, English, typing, CPT/ICD-9 coding, insurance claims and computer classes highly desirable.
EXPERIENCE: Highly prefer one year of office experience in a medical office. Will consider other combinations of work experience and settings.
JOB RELATIONSHIPS: Supervises no other personnel. Reports directly to the physician.
WORKING CONDITIONS: Works in a fast-paced, well-lit, comfort controlled medical office. High traffic area. Interaction with others may be constant and interruptive. Work may be very stressful. Most of public contact involves people needing medical care. Potential exposure to communicable diseases, toxic substances, and other conditions common to a clinic environment.
PHYSICAL DEMANDS: Requires sitting, data entry, and viewing computer screens for long periods of time; also stooping, bending and stretching. Occasional moving items. Ability to operate a keyboard, type 40 wpm or greater, operate a calculator, telephone, copier, fax, and other office equipment as necessary. Possess the ability to respond to telephone/paging contacts.
PERFORMANCE REQUIREMENTS: Knowledge of business office procedures. Ability to greet patients and answer the telephone in a professional manner. Possess good written and verbal communication skills. Ability to sort and file material correctly by alphabetic or numeric systems. Ability to establish and maintain effective working relationships with physicians, patients, employees, and public. Always presents a professional image. Ability to do detailed and accurate work. Utilize time management skills. Read, understand, and follow oral and written instruction. Recognize, evaluate, solve problems and correct errors. Maintain productivity and work independently.
ESSENTIAL FUNCTIONS:
Reception of Patients
1) Asks patients to complete sign-in sheet
New Patient:
a) Provides patient a registration and other appropriate forms
b) Advises patient to fill-in form(s) completely and assist if necessary
c) Checks form for completion when patient returns to window
d) Assures appropriate demographic and financial information
-patient's full name (including middle), address and phone number
-social security number
-employer
-birth date
-responsible party for payment
-insurance name, address, and phone numbers
-insured's name, birth date
-insurance policy and group number (s)
e) Obtains appropriate signatures on all forms (including privacy statement forms, etc.)
f) Makes a copy of insurance card (s)
g) Verifies insurance referrals, workers compensation, etc.
h) Enters data into computer
i) Assembles patient's chart when applicable
j) Attaches charge/superbill sheets when applicable
k) Makes the patient's chart and charge slip available to physician when applicable
Established Patient:
a) Updates patients information
b) Informs patients of any financial responsibility
c) Responsible for referring bad debt patients to billing prior to physician contact
Patient Check-Out
Responsible for greeting and checking-out patients in a prompt, courteous, and helpful manner while at the same time maintaining patient confidentiality.
1) Posts charges and payments of all patients leaving as established by office policy.
a) Obtain patient's records and charge slip
b) Calculates charges promptly and accurately, resolving any questions with nurses (s) and physician (s)
c) Determines patient's balance owed including, deductibles, co-payments, and existing due balances, etc.
d) Accepts payments in cash, check, and/or charge card
e) Assists patient with questions concerning charges, billing, and appointments, etc.
f) Scheduling of any appointments or referrals when appropriate
3) Regular attendance.
MARGINAL FUNCTIONS:
a) Answers telephones, screen calls, takes messages, and provides information
b) Identify patients as no shows, cancellations, or rescheduled
c) Enters into computer new and updated information for patients
d) Attend staff meetings and in-service programs
e) Filing when applicable
f) Maintains a clean, safe, and prepared work area
g) Turns on/off reception lobby lights, straightens lobby and secures front door as appropriate
h) Turns on/off computers and printers as appropriate
i) Remains in compliance with OSHA/Bloodborne Pathogen/Hazardous Communication Standard guidelines
j) Trains new employees for incoming duties
k) Keeps kitchen and restrooms clean and safe
l) Timely helps to put away supplies as it arrives in your respective area
m) Maintains supply of sign-in and charge sheets as applicable
n) Performs other duties as requested
o) Runs posting list and physician's report
p) Balances at end of day
q) Prepares deposits accurately
r) Maintains timely posting of all charges and adjustments
s) Provides estimates of procedures and visits
t) Keeps up-dated on all pertinent information (including insurance/coding knowledge) affecting job and patient care
u) Maintains copier
v) Remains in compliance with HIPAA and related guidelines
w) Performs other duties as requested
Job Type: Full-time
Pay: $17.00 - $18.00 per hour
