The Payroll Coordinator is responsible for preparing and maintaining Agency payroll and accompanying activities, including retirement, insurance, social security, and other appropriate records, ensuring pay is processed on time, accurately, and in compliance with government regulations.
The Primary Functions or Responsibilities of the Payroll Coordinator include:
1. Perform the full range of payroll processing activities.
2. Maintains payroll records by verifying new hire information, change of status information, and terminated employee information.
3. Prepares timesheets for payroll processing.
4. Processes semi-monthly payroll timely and accurately.
5. Reports tax withholding to federal and state, new hire reporting to state.
6. Submit WRS and other retirement contributions.
7. Processes quarterly reports for 941 tax reports and unemployment reports.
8. Maintains records for WISEstaff DPI report.
9. Keeps current with industry best practices, including payroll and accounting laws.
10. Ensures compliance with all newly-passed federal and state legislation pertaining to payroll, benefits, and human resources.
11. Maintains required federal and state public notices and postings pertaining to payroll.
12. Work in collaboration with HR to balance payroll liability accounts, FMLA, medical, and Workers Comp records.
13. Complete Unemployment requests.
14. Complete year end federal/state reports including, W2s, 1095, WRS, etc.
The Payroll Coordinator must possess excellent organizational skills, be deadline driven and superb attention to detail. Dealing with an abundance of personal information, confidentiality is paramount.
Five years previous experience with payroll and/or an associate degree or higher in accounting required.
Experience with payroll within a school setting, benefits administration, Certified Payroll Professional (CPP) desired.
This position is a full-time/full-year position that is benefit and WRS (Wisconsin Retirement System) eligible.
