Family Support Organization of Cumberland, Gloucester & Salem Counties is a non-profit organization servicing families involved in the Children’s System of Care in New Jersey. We work as a team with the Care Management Organization (CMO) to help support, educate and advocate for families who have children with mental, emotional, behavioral, developmental disabilities and substance abuse challenges. We are also a resource center for information and referrals.

The Office Manager's responsibilities serve as a member of the Executive Director’s Management Team with the Assistant Executive Director. The Officer Manager will assist the Executive Director in the daily operations of the office, including, purchasing, maintenance of the office equipment and vehicles.

The maintenance and oversight of the financial records and financial activity of the Organization in accordance with, Generally Accepted Accounting Principles (GAAP) and the terms and conditions of the State Contract.

  • Daily maintenance of the general ledger accounts.
  • Set up, monitoring and maintenance of the Budget in Quick books.
  • Analysis and preparation of Budget Modifications.
  • Analysis and Preparation of monthly and quarterly budget reports.
  • Yearly Budget preparation.
  • Accounts Payable and Accounts receivables.
  • Timely payment of all invoices.
  • Reconciliation of Bank accounts on a monthly basis.
  • Maintain financial, contract and administrative records of the office.
  • Maintain vehicles-maintenance i.e. registration, insurance up-to-date.
  • Maintain office equipment, copier fax, phones, set up of alarm codes for new employees.
  • Run errands i.e. bank, post office,
  • Gather and maintain documents that are necessary to ensure compliance.
  • Review and make necessary adjustments to the 5500 report on a yearly basis.
  • Assist the Executive Director with Human Resources Issues.

  • Provides information by answering questions and request.
  • Resolves administration problems by coordinating preparation of reports, analyzing data and identifying solutions.
  • Set up conference room for Executive Director’s meetings
  • Employee relations (service and counseling)

Summary of Human Resource Responsibilities

  • Conducts newly hired employee’s orientation.
  • Recruit and select new candidates.
  • Explain company personnel policies, benefits, and procedures to new hires or employees.
  • Oversees maintenance of employee benefit files and updating of employee payroll record.
  • Maintain consultant relationships to obtain appropriate and reasonable insurance policies (commercial, auto, health, dental insurances, AFLAC and 403b).
  • Process payroll with Paychex on a bi-weekly basis.
  • Conducts newly hired employee’s orientation.
  • Explain company personnel policies, benefits, and procedures to new hires or employees.
  • Post open positions and schedule interviews for Executive Director.
  • Advises the Executive Director about Human Resources Issues.

Qualifications: An Associate Degree in Business or a similar related field of study. Previous office experience 5 years . Organizational, multitasking and decision-making skills are essential; knowledge of certain computer programs, such as Microsoft Office and Quick Books. Must possess a valid driver’s license and means of transportation. Possess a positive attitude, be trustworthy, have excellent interpersonal skills to successfully accomplish tasks necessary to meet high standards of ethical and social responsibility required by this position. Must be able to read and write.

OTHER GENERAL REQUIREMENTS: As the director's representative, you must be punctual and timely in completing assigned tasks. The assistant also exercises a great deal of discretion, as you may frequently be provided with highly confidential information.

WORK ENVIRONMENT: Must conduct oneself in the community in such a fashion that one is respectable and professionally representing CGS Family Support Organization at all times.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
