About Us:

Our 4-person office requires a reliable, well-organized person to handle day-to-day operations. We’re looking for an energetic professional individual who doesn’t mind wearing multiple hats and takes pride in getting things done. Attention to detail will be particularly important for many of the key responsibilities.

Tasks vary from answering patient inquiries, scheduling appointments to discussing financial reports and organizing office events. Comfort with performing a wide variety of tasks in an office in constant motion is a must.

DUTIES: We are a small office, this position is 70 percent flowing with patient visits, and 30 percent office managing, sales, projects.

Front Desk Position Personality /Office Duties:

· Greet patients and give all the patients that come in the extra care and love that makes them feel at home. You make sure everyone had fun when they come to our clinic!

· Refer patients into the office for care through your enthusiasm and conversations with established patients and walk ins.

· Answer phones with energy and sparkle!

· Learn to schedule efficiently and manage patient flow to give all patients great service and a WOW experience!

· Tracking patient visits, office statistics, goal setting for the office.

· Give simple financial presentations to patients and help them with financial arrangements for starting their care, taking payments, and collecting money when due.

· Light billing and tracking of balances, posting payments, and producing statements when needed.

· Generate simple reports and stats, prep of records, writing simple letters, preparing packets, filing, and general office support.

· Working closely with and directing doctors and other staff.

· Giving stickers to kids, opening the door for someone who has their hands full, offering snacks to hungry working moms, and whatever else comes up!!

· Keeping the office Tidy and Beautiful!

  • Excellent record keeping/retention (patient records, business records, etc.)

  • Keeps things organized and tidy!
  • Is a Task Oriented go getter & will do whatever it takes to serve the patients’ needs.
  • A Point of contact for vendors, contractors, neighborhood orgs etc.
  • Loves organizing office events, marketing calendars etc.
  • Can manage licensing, certifications & maintenance scheduling.
  • Performs inventory, ordering, stocking, and organizing everything.

REQUIREMENTS:

· Must be computer savvy, and be able to carry yourself well displaying polish, maturity, and confidence.

· Efficient with utilization of computers, various types of software, proficient with Google Drive, Gmail, Text Chat, Microsoft Office/Windows, able to perform general office tasks, and excel at both verbal and written communication.

· Must be comfortable discussing finances with patients.

· Must be confident helping keep people on track with their appointments.

· A shy person would not be happy in this position; you must like to work in an office and talk to people in person and on the phone/computer all day.

· Someone who has corporate skills but is really looking to do something more personal, make a more of a difference, and work as part of a small, dedicated team!

POSITION HOURS: 40 hours/week.

Monday: 7:45am-2:30pm Tuesday, Wednesday: 7:45am-5:15pm

Thursday 9:30am-6:30pm *(with 9:30-7:30pm 1-2 weeks/month for in-office workshops)

Friday: 7:45am-2:30pm

We are currently open T-TH 8am-6:30pm and Fridays 8am-2pm and will be opening Mondays 8-2:30pm on July 22. Additional hours will be necessary at the beginning for new employee training. Attendance to in-office workshops,4-6 afternoon trainings/year, and occasional weekend community service events is required.

COMPENSATION:
-Base salary range is $40-43K/year DOE and schedule
-Performance-based bonuses ranging up $50-700 per month
- Paid Time Off after a year.
