We are searching for a skilled office assistant to organize and coordinate administrative duties and office procedures with familiarity in the automotive/diesel/transit field. Your role is to maintain a pleasant work environment, being very flexible with job duties, ensuring the highest levels of organizational effectiveness, accountability, numerical accurateness, communication and safety. Office assistant duties and responsibilities include delegating duties, HR role, scheduling appointments, making office supplies arrangements, and providing general administrative and act as a general liaison to our employees. Versatility and ability to grasp customized warranty, estimating and accounting programs designed specifically for the automotive/diesel/transit fields is a plus.

  • RESPONSIBILITIES:
  • Multi tasker
  • Acuity with numbers
  • Timely invoicing and collections of receivables with correct application of receipts
  • Accurate financial documentation and bank record keeping and reconciliation
  • Documentation of State Sales Tax
  • Timeliness and accurate documentation of vendor payables
  • Ability to professionally communicate with vendors, customers, and management
  • HR role

PROFESSIONAL SKILLS:

  • Professional communication skills
  • Proven experience as an office assistant/manager
  • Knowledge of office administrative duties and human resource skills
  • Proficiency in MS Office (Word, Excel)
  • Proficiency with Quickbooks Enterprise A MUST
  • Skillful in operation of all office equipment
  • Excellent organized filing skills
  • Attention to detail and problem solving skills
  • Ability to organize, manage and multi task in a fast paced environment
  • HR skills and management of employee benefits a plus, (i.e. employee time sheets, employee relations, insurance, benefits and payroll)
  • Manage DOT regulated mandatory drug screening
