Job Summary:
If you are an expert multi-tasker, with a flair for making things happen quickly and efficiently, and a passion for taking care of people - this may be the role for you! Chatbooks is looking to bring on a new Office Manager to our amazing all-star team. You’ll own everything from making our Lehi & Provo offices a place our team members enjoy working at, celebrations, events and travel planning and everything in between. This is a high impact role where you are able to make a difference in our team members’ experience at Chatbooks!
What you’ll do:
- Support a positive team culture by helping administer new hire swag, key cards and upgrading team members’ computer equipment as needed
- Support the coordination of regular on-sites for local and remote team members (ie. team scheduling and travel arrangements)
- Ensure efficient and effective support of business operations by providing general office support, reception coverage and facilities management/maintenance functions
- Oversee organization of equipment, office supplies and Information Technology for the office, especially Video Conferencing and Audio Visual systems
- Arrange weekly catering needs, kitchen (food) inventory
- Ability to adapt, remain calm under pressure, and maintain a poised and professional demeanor
- Ability to see a need and proactively prepare for upcoming projects and timelines associated
- A great attitude and always up to help others
- A team player—make an effort to communicate, share the details, build relationships across teams, and see projects through to the end
- Represent Chatbooks and make positive lasting impressions with external companies
- Ability to keep private information confidential, be proactive about order and cleanliness in the office, and flexible when changes come up
Skills and experience you’ll need to succeed:
- A positive, can-do attitude, capable of determining when to have fun (or as we call it “keeping it weird”) and when to reinforce a needed process.
- Friendly and outgoing personality
- Superior organization, follow-up, and multitasking skills for a fast-paced environment - understanding what’s most important right now is key
- A strong focus on detail and accuracy with the ability to take full ownership of assigned work
- Experience in a broad range of office administrative functions, including event planning
- Excellent verbal and written communication skills and telephone manner
- Well-developed organizational ability and time-management skills
- Demonstrated project management and solid problem-solving skills
- Working knowledge of software systems such as Google Workspace, Slack, Dropbox, Zoom, and DocuSign
