Position Overview: Chateau Luxe, an exclusive event venue known for its opulent settings and impeccable service, is seeking an experienced Client Support & Venue Coordinator. This role is vital to our operations, serving as the primary liaison between Chateau Luxe and our esteemed clientele who have chosen us for their significant events. The coordinator will ensure that every detail (which the venue is providing) is meticulously planned and executed, providing a seamless and memorable experience for our guests. This is not an event planner role - this role is responsible for coordinating venue services and working with the client's event planner to ensure proper coordination among the venue, client, and any outside vendors.

Key Responsibilities:

  • Act as the main point of contact for clients hosting events, addressing their needs and queries promptly.
  • Meticulously Collect and organize venue-related details including finalizing food menus, guest counts, event schedules, room layouts, and other logistical details.
  • Ensure adherence to venue policies and procedures throughout the event planning process and execution.
  • Prepare accurate and comprehensive client invoices, including all billable services.
  • Coordinate with internal teams and external vendors to ensure event success.
  • Handle on-site coordination during events to manage logistics and resolve any issues that may arise.
  • Provide exceptional customer service, maintaining the high standard of Chateau Luxe.
  • Proficiently use a Windows 11 Computer and Event Software

Qualifications:

  • Proven experience in catering or event coordination.
  • Experience in a Fine Dining Restaurant, special preference for those who have experience with Private Group Dining.
  • Excellent Computer Skills - Microsoft Windows 11, Microsoft Office, etc.
  • Exceptional organizational skills and attention to detail.
  • Strong computer proficiency and ability to manage event planning software and tools.
  • Excellent communication and interpersonal skills.
  • Ability to work flexibly, adapting to varying schedules which include evenings and weekends as required by event bookings.
  • Hardworking, proactive, and capable of working independently as well as part of a team.
  • Ability to remain positive, calm, and uphold customer service standards even in stressful situations.
