Job Summary
Coordinates on-line scheduling of GI Suite and operative procedures as well as infusions and other GI studies performed in the Endoscopy Suite, assuring cost-effective utilization of staff, space, equipment and optimal timing of patients. Collaborates with key nursing, anesthesia and GI provider personnel for decision-making regarding scheduling issues.
Job Responsibilities
- Schedules all patients for procedures in the Main GI Endoscopy Suite.
- Schedules patients having GI procedures in the main OR using EPIC Optime and in IR.
- Assumes accountability for the development and distribution of endoscopy schedule.
- Interacts with multiple specific Hospital departments and with all GI providers in order to book the daily schedule of cases including: obtaining the plan of care from the other specialty service who cares for the pt., working with other surgery departments to coordinate combination procedures, working with radiology to plan for needed fluoroscopy for date of service.
- Schedules preanesthetic visits in EPIC for all patients requiring this.
- Coordinates and collaborates with charge nurses, flow facilitator resource and nurse manager regarding daily scheduling problems, concerns or issues.
- Initiates and maintains effective, ongoing communication regarding scheduling within and external of the department.
- Utilizes expert knowledge of block schedule, provider availability, anesthesia and nursing coverage.
- Collaborates with the office administrators, charge nurses, and nurse manager to design, implement and evaluate scheduling technology, work flows and outcome measures for GI Suite to maximize room efficiency.
- Is competent in EPIC OpTime scheduling.
- Cross trained to perform registration, billing and ordering of outside supplies.

Required Education and Experience
Required Education: High School/GED
Preferred Education, Experience & Cert/Lic
Preferred Experience: Work experience with operating room scheduling.
Additional Technical Requirements
- Must possess the following qualities: excellent communication, interpersonal and organizational skills, attentiveness to detail, problem-solving abilities, customer service oriented and the ability to handle confidential information.
- Knowledge of EPIC OpTime preferred.
- Proficient in all Microsoft Office applications, including Excel, Outlook, PowerPoint and Word.
