Overview:
The Medical Operations Administrator at The Children’s Clinic of Fredericksburg plays a pivotal role in managing daily operations and providing comprehensive support to medical and administrative leadership. This role ensures efficient workflows, oversees supply chain logistics, and supports staff development to maintain high standards of patient care and clinic administration.
Key Responsibilities:
Operational Management:
Oversee daily operations, ensuring compliance with local, federal, industry, and company standards.
Analyze and refine processes to enhance efficiency and identify areas for improvement.
Coordinate projects, manage resources, and adjust workflows for optimal team performance.
Communication and Coordination:
Serve as a primary point of contact for internal employees, external clients, and vendors.
Facilitate communication between staff, leadership, and stakeholders to implement feedback and align with organizational goals.
Coordinate clinical meetings and staff training as directed by leadership.
Administrative Support:
Manage calendars, schedule meetings, and facilitate communication for the Chief Operating Officer.
Assist with maintaining employee and vendor contracts.
Ensure staff maintain clinical licensing and certification requirements.
Resource and Supply Chain Management:
Monitor and reorder supplies as necessary to meet team needs and maintain inventory.
Track expenses and prepare reports to provide insight into organizational efficiency.
Training and Onboarding:
Oversee the onboarding and training process for medical and administrative teams.
Maintain training schedules, update content, and execute onboarding checklists.
Collaborate with leadership and supervisors to ensure seamless onboarding and training experiences.
Qualifications:
Proven experience in operations management in a medical or healthcare setting.
Proven experience with healthcare insurance verification and maintenance.
Strong multitasking abilities, with excellent time management and prioritization skills.
Exceptional interpersonal skills to build productive relationships across different levels of the organization.
Proficiency in strategic planning, problem-solving, and process analysis.
Familiarity with industry-specific regulations and licensing requirements.
Competence in using MS Office, EMR/EHR, Digital Phone System
Leadership qualities, including goal-setting, progress monitoring, and team motivation.
Salary Expectations:
Compensation will vary based on education and experience.
Education and Training Requirements:
2 years of Medical/Healthcare Operations Management is required
Advanced knowledge and skills applicable to medical operations, with potential additional training in project management.
Familiarity with industry-specific practices and regulatory requirements is beneficial.
Laboratory Management is preferred.
