Job Summary:
The Project Manager Assistant (PMA) will be working with a Project Manager or an Assistant Project Manager on various project(s). This role is responsible for performing administrative tasks i.e., preparing invoices, building estimates, and scheduling meetings as needed.
Supervisory Responsibilities: This position has no direct supervisory responsibilities.
Job Classification: Full-time, Non-Exempt role
Compensation: $17.50 - $26.44/hour (Chloeta reserves the right to offer above or below listed ranges based on business and/or experience)
Duties/Responsibilities:
- Monitoring project progress with stakeholders on the completion or delay of project phases, scheduling meetings, and maintaining project documents and reports.
- Reviewing and approving weekly timecards.
- Reviewing and approving weekly expenses.
- Contributing to the planning and development of projects.
- Supporting the coordination and management of projects.
- Completing after action reports.
- Researching information as required.
- Performing administrative tasks such as preparing invoices, weekly timecard approvals, estimates, scheduling meetings, etc.
- Keeping track of and reporting on project progress.
- Completing daily assigned tasks
- Contract performance, to include cost overruns, deliverable schedules, and technical quality.

Required Skills and Abilities:
- Experience in reviewing, analyzing and developing budgets
- Expert level proficiency in Microsoft Office and project management software.
- Highly organized and able to multitask.
- Strong attention to detail and problem-solving skills.
- Excellent communication skills, both verbal and written.
- Able to work independently and as part of a team.
Required Education and Experience:
- Required: An associate degree.
- Required: Two years of experience in assisting a Project Manager.
- Preferred: Valid Project Management Professional Certification (PMP) or able to obtain.
- Preferred: Experience managing and/or working on government contracts in the private sector.
- Preferred: A bachelor's degree in management, business administration or related field.
Work Environment / Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- This position is in person at the Oklahoma City headquarters.
- This job operates in a fast-paced, collaborative environment. This role routinely uses standard office equipment such as computers, phones, etc.

Pre-employment Requirements:
