Project Administrative Assistant

The Administrative Assistant will support the Construction Project Manager(s) and Assistant Project Manager(s) in word processing, filing, scheduling and coordination of meetings, various departmental functions, obtaining/stocking office supplies, coordinating direct mailings and working on special projects.

Primary Responsibilities include but are not limited to:

  • Prepare for faxing and mailing all correspondence, Subcontracts, Purchase Orders, Change Orders and other mailings generated by the Project Manager and Assistant Manager.
  • Type Subcontract and Purchase Order Agreements, verify compliance items, prepare transmittals, and interface contracts in the computer system.
  • Coordinate and communicate the company's standard billing procedures to vendors, subcontractors and material suppliers.
  • Prepare, execute, and notarize Conditional and Final Waivers as part of Owner Application for Payment.
  • Assist covering the main reception desk.
  • Prepare closeout documents as required.

Skills, Knowledge, Qualifications & Experience:

    • Must have experience working in the construction industry.
    • Excellent verbal and written communication skills.
    • Knowledge of MS Office.
    • Must be detail oriented, able to multi-task and possess an excellent work ethic.
    • Accurate and proficient in all outlined responsibilities.
    • Experience in construction industry preferred.
