What are the responsibilities and job description for the Receptionist position at CIS Management Inc?
Front Desk Receptionist answers and directs incoming phone calls, greets visitors, opens and distributes large volumes of mail, provides excellent customer service to inquiries from residents, and provides administrative support to Human Resources and others as needed throughout the organization.
RESPONSIBILITIES:
- Answer and direct incoming phone calls courteously and professionally
- Greet visitors
- Provide excellent customer service to questions and inquiries from residents
- Provide backup support to CEO's Executive Assistant
- Track resident legals and follow-up on status with Property Managers and Chief Operating Officer
- Receive, date stamp and distribute large volumes of incoming mail
- Scan and e-mail time-sensitive documentation to property managers
- Prepare outgoing USPS, FedEx, and UPS mail
- Complete special projects as assisgned
- Ensure company phone lists are up-to-date
- Maintain office supply inventory and order supplies
- Kitchen Management
- Facilities-Lights, paper products, cleaning company (work with building Superintendent)
- Provide administrative support for Human Resources
- Support other departments as needed
- All other duties as assigned
QUALIFICATIONS:
- Minimum 3 years Administrative Experience
- Strong background in administrative duties, including, but not limited to, the ability to work in a small and fast-paced office environment with minimal supervision
- Strong communication skills
- Previous experience working with various levels of management and personalities
- Customer-service oriented with friendly demeanor
- Strong working knowledge of MicroSoft Office Suite (i.e., Word, Excel , and Outlook)
- Detailed oriented
- Some bookkeeping experience a plus
- High School Graduate or Equivalent
