DUTIES: The Program Assistant performs a variety of clerical duties that support the recreation, continuing education, and cultural programs provided by Chelsea Recreation & Cultural Affairs. Programs take place at Williams School Building, 180 Walnut Street. Responsibilities include the organization and maintenance of all front desk transactions including registration documents and cash /credit card payments.
REQUIREMENTS: High School diploma required with post-secondary degree preferred. Excellent organizational skills; detailed oriented, ability to handle multiple task simultaneously. Strong computer literacy skills. Experience working in a fast-paced environment using databases, registration software with community-based programs. Handles multiple priorities effectively, bilingual capabilities English/Spanish is strongly preferred. Must be available weekdays: Mondays, Wednesdays and Fridays 3:30-9pm and occasional Saturday hours to be determined.
RESPONSIBILITIES:
1) Assist the Director and Managers in the implementation of initiatives to insure linkages with all the City services.
2) Handle program registrations, including the collection of class fees/written receipts and the applications for use of Public School facilities.
3) Greet participants, ensure they sign in and direct them to their appropriate location.
4) Become a source of information knowledgeable about the program, its partners and activities in addition to the on goings of the Chelsea community itself.
5) Keep the participants informed about any changes in the schedule.
6) Set up all literature to be distributed, daily signs, activity easel and banner.
7) Keep strict attendance through the sign in sheets and total the numbers of participants.
8) Communicate with security and custodians to inform them of what’s happening in the building.
9) Communicates with administration providing suggestions/concerns applicable to the program.
10) Know, understand, and be able to execute the Emergency Action Plan.
