SUMMARY

The City of Chicopee’s Council on Aging is seeking a professional and experienced administrative support professional to fulfill the duties in the role of Clerk. This individual is responsible for providing clerical assistance for the continued operation of the Council on Aging and is a great opportunity for someone that is dedicated to helping others and enjoys working with the seniors of the City of Chicopee.

ESSENTIAL DUTIES INCLUDE SOME OF THE FOLLOWING
  • Performs data entry and maintains records for the council’s newsletter, special activities or events, staff birthday list, and staff Sunshine Fund. Responsible for preparing information in order to have an accurate list for mailing
  • Acts as initial contract with volunteers providing form and information
  • Schedules appointments for tax and other assistance as well as for special events or programs
  • Prepares program registration sheets for the reception desk and tickets for events & monitors event tracking
  • Provides support of the direct care staff and receptionists by answering phones, taking accurate messages, making telephone calls, accepting registration for events and programming, copying and collating materials needed by the staff or volunteers
  • Manages the medical loan program including maintaining the inventory, lending out the equipment and keeping records so that equipment can be returned promptly.
  • Responsible for maintaining order in the office supply closets/copy room, insuring that the copier is filled with paper, and inventory of the office supplies
  • Responsible for coordinating congregate lunch/meal delivery lists, and counting the lunch program meal money
  • Counting cash register at café at the end of the shift, managing sale receipts and complete report for the city auditor for sales tax reports to the state
  • This position is required to work a minimum of 1-2 nights per month for evening programming

QUALIFICATIONS
To be minimally qualified for this position, one must meet the following criteria:
  • High School Diploma or equivalent
  • General knowledge of office procedures and experience dealing with the public. Ability to use a computer for word processing, data entry, email, and EXCEL.

This is a
full-time, 35 hours per week position, with a general schedule of 8AM – 4PM Monday through Friday, with required flexibility to accommodate some evening functions at least 1-2 times monthly
This role is classified as Grade 2A, Step 1, with a minimum starting base pay of $17.63 per hour, with periodic step and pay increases upon continuous completion of employment with the City of Chicopee.
