Under general supervision provides complex administrative support to the Fleet Services Operations. Includes organizing and preparing for interdepartmental, and staff meetings. Reviewing mail, drafting correspondence, and resolving complex customer issues. Leads projects as assigned and assists others with tracking projects to ensure completion in a timely manner.

- Serves as the point of contact for assistance in fleet-related matters.
- Prepares/processes purchase orders.
- Processes invoices to accounts payable for payment.
- Manages and monitors fuel reports and enters weekly fuel transactions.
- Administers, and monitors all fuel cards, and pin numbers for City-wide fuel cards.
- Processes and distributes toll invoices for payment.
- Processes and completes all paperwork for registrations of new vehicles.
- Work with the County on registrations and license plates for all City vehicles.
- Assists staff with technical and administrative support duties in the daily operation of the service center.
- Organizes meetings, tracks projects, and field correspondence/complaints from departments.
- Manages/monitors credit card usage compliance and reviews statements for the department.
- Orders departmental office supply requests.
- Compiles information required for reports; and prepares reports for management
- Assists in planning and coordinating department activities and special functions.
- Assists Fleet Manager with the annual budget.
- Assists Fleet Manager with managing vehicle replacement schedule and vehicle allocation model.
- Performs other duties as assigned.

Minimum Qualifications:
Education, Training and Experience Guidelines
High school or GED with some college preferred. Five (5) years of full-time progressively responsible experience in office administration. Knowledge of fleet operations is a plus. Any combination of experience or education may substitute for the minimum qualifications.
Knowledge of:
- Office procedures and records management.
- City operations, personnel policies, and procedures.
Skill in:
- Supporting various priorities, schedules, and tasks while providing excellent customer service.
- Working closely with management and other employees. Other public and private sector entities, and the public.
- Microsoft Office including Outlook, PowerPoint, Excel, and Word.
- Writing and preparing a variety of reports, correspondence, and special projects.
- Being flexible in a demanding and rapidly changing environment.
- Assessing situations and making prompt, safe, and efficient decisions regarding task priority and effective solutions.
- Prioritizing, tracking, and managing multiple projects, assignments, and duties.
- Maintaining confidentiality of information pertinent to the City.
LICENSES AND CERTIFICATION REQUIREMENTS
Valid Class C Texas Driver's License
