Performs intermediate skilled administrative support work assisting, coordinating, and administering a variety of human resources functions, programs, and activities, and related work as apparent or assigned. Work is performed under moderate supervision.
- Assists with new hire orientations, benefits administration, and payroll processing.
- Receives, reviews, prepares, and processes forms and data related to employee benefits and onboarding.
- Enters, updates, and maintains data from automated human resource systems including payroll and recruitment information.
- Creates, maintains, and updates files, records, and reports; reviews documents for accuracy and completeness.
- Assists in researching, compiling, and analyzing human resources data.
- Performs a variety of general office support; processes mail, orders office supplies, completes employment verifications, prepares informational packets for department use; performs various transactional responsibilities, which include preparing and processing invoices, purchase orders, credit card statements, etc.
- Greets visitors; answers phones; provides accurate information to internal and external customers; coordinates office coverage; provides administrative support to department staff as needed.
- Handles information of a sensitive or confidential nature appropriately and within applicable regulatory and City guidelines.
- Performs work on special projects such as event planning, service awards, employee luncheons, and serves on special committees as assigned.
Minimum Education and Experience:
- High school diploma or GED and extensive experience providing administrative support preferably within a human resources department, or equivalent combination of education and experience.
- Professional in Human Resources (PHR) certification preferred.
- Valid driver’s license in the Commonwealth of Virginia.
- Basic knowledge of general principles and practices of human resources administration and of pertinent federal, state, and local laws and regulations.
- Intermediate knowledge of Microsoft applications to include Outlook, Word, Excel, PowerPoint, and Publisher.
- Excellent communication, customer service, organization, time-management, and prioritization skills.
- Sound professionalism, maturity, credibility, work ethic and dependability.
- Advanced computer skills.
- Financial skills sufficient to perform and reconcile basic accounting transactions.
- Ability to maintain accuracy (minimal errors) with strong attention to detail in high-volume work environment.
- Ability to adhere to strict confidentiality expectations.
- Ability to work cooperatively with others in a team environment and effectively under pressure during peak workload periods.
- Ability to work on own initiative without close supervision or guidance and complete assignments as required.
- Ability to interpret, apply, and minimally explain human resources policies, practices, and procedures.
- Ability to learn and use specialized systems.
- Ability to communicate effectively, clearly & concisely, both orally and in writing.
- Ability to maintain effective working relationships with internal and external customers.
