The city of Las Vegas invites applicants for Events Planner. This position assists in the planning and coordination of special events. Provides general information, customer service and support for citizens planning and permitting special events with the city of Las Vegas. Oversees the work of assigned hourly staff.
Distinguishing Characteristics
Events Planner is an entry level classification. It is distinguished from Events Specialist by the performance of the more routine tasks and duties including the planning and coordination of smaller and less complex events. Events Planner is further distinguished from Events Specialist in that the latter classification participates in the administrative functions of the work unit, including budget, performance measures, and vendor and contract negotiations.
Supervision Received and Exercised
Receives direction from supervisory and management staff. May receive functional and technical directions from higher-level staff. Oversees lower level hourly staff at events.
Type of Examination
A civil service examination will be conducted in accordance with the Civil Service Rules of the city of Las Vegas. The supplemental questions are the examination. Falsification of information may result in disqualification from a recruitment or removal from a city position. Additional information will not be accepted after the closing date. The supplemental questions are weighted 100% for placement on an eligible list, and must be worked on individually by the applicant only. The supplemental questions of all qualified applicants will be reviewed for placement on an eligible list.
Eligible List
You must score 70% or higher on the examination to be placed on the eligible list.
Selection Process
Final candidate selection will include list placement and may include hiring interview (if applicable). Any individual offered employment will be required to pass a pre-employment drug test, complete background check, and may be required to demonstrate the ability to perform the physical requirements of the job. Some positions may require preliminary background checks.
Essential Functions:
- Assists in developing, planning, coordinating, and implementing special city events.
- Oversees hourly staff, interns and volunteer workers; oversees community service workers.
- Ensures hourly employees assigned to an event adhere to established work methods, techniques and schedules, and comply with applicable city and department policies, procedures, standards and specifications; reviews needs with appropriate management staff; allocates resources accordingly.
- Coordinates outside service needs with catering concessionaires and other service providers; prepares food platters and beverages for smaller events.
- Develops and maintains positive working relationships with vendors, customers and other agencies.
- Obtains required license agreements and permits for each event; ensures compliance with applicable standards. Elevates complex and sensitive issues and complaints to higher-level staff.
- Assists in the implementation of division goals, objectives, policies and procedures.
- Prepares reports on actual and estimated revenues and expenditures spent on events implemented.
- Monitors and maintains appropriate levels of supplies, equipment, and inventory to ensure efficient and effective operations. Assists in the procurement process, including researching materials, equipment, and vendors and assisting with specifications.
- Coordinates with other city departments to organize program and event logistics including security, rights of way permits, business licenses permits, janitorial support, lighting and signage.
- Distributes flyers and banners for special events.
- Provides assistance with special events permitting; coordinates information between event organizers and applicable departments and agencies; monitors and tracks status and approvals; and issues special events permits as needed.
- Prepares a variety of reports.
Marginal Functions:
- Attends and participates in professional group meetings; stays abreast of new trends and innovations in the field of event planning.
- Maintains a variety of automated and manual logs, records and files.
- May enforce facility or event rules and regulations.
- Performs related duties and responsibilities as required.
Experience:
One year of experience in the planning and/or execution of events.
Training:
Equivalent to graduation from high school.
License or Certificate:
Possession of a valid driver's license on the date of application, and maintenance thereafter.
Possession of a Health Card from the Southern Nevada Health District within two weeks of the date of appointment, and maintenance thereafter.
If age 21, possession of a Techniques of Alcohol Management (TAM) certification from a State of Nevada certified agency within two weeks of the date of appointment. All other successful candidates not yet 21 must obtain certification upon reaching age 21, and maintenance thereafter.
Special Requirement
Work schedule may depend upon the event schedule, and may vary considerably, involving normal daytime hours in addition to some evenings, weekends and holidays. May be required to work non-traditional hours or work schedules.
