Human Resources Assistant SUMMARY OF POSITION:
Under general supervision, the Human Resources Assistant serves as the initial point of contact for the Human Resources Department; responsible for providing excellent customer service to employees, vendors, and visitors. Performs various clerical and administrative support tasks to assist the operations of the Human Resources Department. Duties may include customer service and resolution, data entry, preparing reports or correspondence, performing research, event organization, and other assignments and projects as necessary. The HR Assistant is continuously developing their knowledge of HR functions.
EXAMPLES OF WORK:
- Provides administrative support in the areas of recruitment, employment, payroll, benefits and maintenance of employee and departmental files;
- Assists in maintaining payroll data on automated system: processing new hires, terminations, position changes, wage garnishments, deductions, sick/vacation accruals, etc;
- Assists in generating personnel actions for all employment status changes and routes for appropriate approval;
- Performs clerical support duties for departmental employees as requested to include but not limited to customer service, scanning, copying, faxing, typing, and filing;
- Assists in responding to routine questions regarding payroll;
- Prepares routine reports; organizes and prepares documents for appropriate routing; and compiles specific research tasks under supervision. (MVR’s, Harassment Training, Outside employment, Leave Reports, Housing Incentive, Certificate of Occupancy, Supervisor Quarterly Evaluations Due, etc.);
- Enters data into the City’s human resource information system and periodically conducts audits to ensure accuracy of data (Certification certificates, I-9s, W4, new hires, resignations, promotions, disciplinary, terminations, open records, certification pay, etc.);
- Serves as back up for other HR functions and responsibilities, such as but not limited to benefit enrollment, new hire/promotion entry, etc.
- Supports the organizations recruitment tasks through assisting with on boarding paperwork, coordinating orientation, ordering new hire polos;
- Provides support to the City of Seguin’s switchboard, handles multiple phone lines, answers inquiries and properly routes calls to the appropriate department/point of contact;
- Maintains knowledge of all city department functions and responsibilities to assist citizen and city staff inquiries;
- May support citizen’s trash/recycling services concerns such as new service, missed service, replacement bins;
- May assist visitors to City Hall, and answer inquiries from the public;
- Ability to proactively assist HR team, work productively alone on task/project and as part of a team;
- Observes all safety rules and procedures, including confidentiality of employee records;
Other Important Duties*
- Employee Advisory Committee (EAC) Secretary – coordinates meeting time and location, prepares agenda, assists with Employee of the Month nominations received, takes meeting minutes;
- Performs such other duties as may be assigned
ACCEPTABLE EXPERIENCE AND TRAINING:
High School Diploma or equivalent; three years (3) of administrative/clerical experience; (2) years of customer service and specialized training or experience working in a Human Resources setting is preferred; OR an equivalent combination of education and experience. Knowledge of Microsoft office.
CERTIFICATES AND LICENSES REQUIRED:
Valid Texas Driver’s License
