What are the responsibilities and job description for the Human Resources Assistant position at City of Springfield?
Responsible for administrative tasks and services to support effective and efficient operations withing the Human Resources department. Work is performed under the supervision of the Assistant Personnel Director. No supervision is exercised over other employees.
- Maintains accurate and up-to-date HR files, records, and documentation (both electronic and paper)
- Tracks and documents yearly policy sign-offs.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filled appropriately.
- Assists with record retention and tracking of all HR related documents.
- Serves as contact for HR related questions from applicants and employees.
- Serves as backup to the SR HR Generalist for employee onboarding.
- Provides clerical support to the HR department
- Processes payments of all bills relative to the office.
- Maintains office supplies inventory, including ordering and supply management.
- Processes and disburses vendor contracts and all corresponding documentation, including contract files; balanced draw down cards; invoices submitted for payment.
- Prepares contract amendments as required.
- Attends local recruiting events as needed.

- Ability to establish and maintain effective working relationships with employees, department heads and other municipal officials.
- Bachelor’s degree from an accredited college or university with major course work in business administration or a related field; OR, any equivalent combination of four (4) years.
