Community Events Coordinator (Part-Time)

OVERVIEW:
This part-time position will provide direct support to the and other divisions of the  as needed. Primary tasks include planning and implementing the Department’s annual community special events and event volunteer program under the direction of the Arts Manager and Recreation Supervisors. Annual events include the UA Labor Day Arts Festival, UA Performance Series and seasonal recreation events. The Community Event Coordinator will also assist in organizing and hanging gallery exhibits, assist with gallery receptions and assist in the management of the City’s permanent art collection. Additional assistance as needed may include answering phones, assisting with customer service needs, and assisting with the City’s special event permit application and approval process.

JOB RESPONSIBILITIES:
Under general direction of the Arts Manager with direct support to the Cultural Arts and Recreation Divisions, assists in providing arts & cultural programming and community events; coordinates administrative and promotional details of art programming, exhibits and events; manages Department event volunteer program; works in conjunction with the Community Affairs Division on marketing and social media content.

ESSENTIAL FUNCTIONS: For purposes of 42 USC 12101:

  1. Assist Arts Manager and Recreation Supervisors in planning and organizing community festivals and events; researching and communicating with all event vendors; managing contracts; developing site plans; coordinating with sound and stage production and performers; maintaining proper documentation; event setup and teardown.

  2. Leads event volunteer recruitment, training, and retention for the Department; supervises volunteers on event days.

  3. Coordinates department marketing and communication efforts in collaboration with Department and Community Affairs Division; compiles content for e-newsletters, social media and other marketing platforms and materials.

  4. Assists in coordinating art exhibits; manages exhibits including installation and tear-down; assists Arts Manager and artists to design and display exhibits; maintaining cleanliness and proper display or exhibits; compiles content for gallery guide and signage; promotes exhibits; facilitates gallery receptions.

  5. Assists in the planning and implementation of goals and objectives as provided through City, Department and Division guiding documents (comprehensive plans, master plans, etc.)

  6. Provides support to the Department and Arts Manager; manages event supply inventory; provides administrative support; picks up and delivers items as required; creates and writes letters, memos, invoices, name tags, signage, calendar information, website information, social media postings, exhibition invitations, and other written materials adhering to the Department’s graphic standards.

  7. Coordinates projects with a variety of individuals, commissioners, volunteers, community members, vendors, artists, and staff from other departments; attends and contributes to meetings, shares ideas and represents the Department as appropriate.

  8. Assists with the City’s special event permit application and approval process.

  9. Maintains licenses and certifications as required, if any.
  10. Demonstrates regular and predictable attendance.
  11. Meets all job safety requirements and all applicable OSHA safety standards that pertain to essential functions.

OTHER DUTIES AND RESPONSIBILITIES:

QUALIFICATIONS:
Associate degree or equivalent from an accredited two-year college or technical school and one (1) to two (2) years of progressively responsible related experience; or any combination of training, education, or experience which provides the desired knowledge, skills, and abilities to perform the essential functions of the position.

LICENSURE OR CERTIFICATION REQUIREMENTS:
Valid State of Ohio Driver’s license and the ability to maintain insurability under the City’s vehicle insurance policy.EQUIPMENT USED: The following are examples only and are not intended to be all inclusive.

INHERENTLY HAZARDOUS OR PHYSICALLY DEMANDING WORKING CONDITIONS:
The employee has exposure to chemical compounds found in an office environment (e.g., toner, correction fluid, etc.); work may be performed outdoor in a variety of weather conditions; regularly required to lift, carry, push or pull objects 25 lbs. or less; occasionally required to lift, carry, push or pull objects 75 lbs. or less.

NOTE: In accordance with the U.S. Department of Labor physical demands strength ratings, this is considered light to medium work.
