Position Summary
The purpose of this position is to assist the York City Police Department Property & Evidence Division in preserving the Chain of custody for pieces of property and evidence, protecting the evidentiary value of all items throughout the process via proper storage, research and documentation practices.
- This is accomplished by logging accurate information into the appropriate databases and / or on paper records for tracking;
- scanning and filing documents; monitoring for errors in paperwork and packaging of evidence; filing items; regular lifting and relocation of file boxes / retrieving items from storage when needed;
answering and making phone calls, communicating with various personnel and agencies; requesting information; setting appointments and returning property on the public.
This position works in tandem with another Evidence Clerk to make sure that all necessary operations are covered in either’s absence.
Other duties may include assisting in receiving gear and uniforms from officers who are leaving the department; covering some of the Quartermaster’s tasks in time sensitive matters, assisting in the physical destruction of various items;
and monitoring supply levels. On extraordinary occasions evidence clerks may be called upon to testify in court.
Essential Functions
Receive, release, log and track chain of custody information for property and evidence. Ensure quality control of packaging and communicating issues found with the appropriate parties.
Respond to requests for copies of evidence for specific cases, providing copies, links or uploads of assorted digital files and documents.
Provide copies of requested media in appropriate formats to approved parties each week.
Research criminal case dispositions utilizing multiple resources for the purpose of returning property and clearing space in storage area.
Required Knowledge, Skills and Abilities
Over one year up to and including three years.
Work requires providing advice to others outside direct reporting relationships on specific problems or general policies.
Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.
The employee normally performs regular duty assignments according to set procedures and instructions, requesting supervisory assistance whenever a decision outside those guidelines is necessary.
Special projects will be assigned by supervisor and will be reviewed regularly.
Work requires a comprehensive, practical knowledge of a technical field with use of analytical judgement and decision-making abilities appropriate to the work environment of the organization.
This position has no budgetary or fiscal responsibility. It does however involve the handling packaged cash in evidence.
Experience working in a busy office environment.
Experience using Microsoft Access or other database software.
