Location: Onsite in Downtown Chicago, IL
Schedule: Monday - Friday | 8:30am - 5:00pm
Compensation: $80,000 - $90,000 salary, plus benefits
Our client, a Chicago-based consulting firm in the aviation industry, is seeking an Office Manager to provide professional administrative support to key members of their executive team. Ideal candidates should have 5 years of admin experience and be comfortable working relatively independently.
RESPONSIBILITIES:
Calendar/Travel Management
- Manage the calendar for one executive, including scheduling appointments, meetings, and handling email exchanges
- Handle all travel bookings, including flights, accommodations, and transportation for the executive and other team members as needed
Office Supply Management & General Office Functions
- Oversee office supplies and ensure that all general office functions are running smoothly
- Set up and manage conference registrations, including coordination and logistical support
- Utilize strong MS Office skills (Word, PowerPoint, Excel) to create and manage documents, presentations, and spreadsheets
Assist with Drafting Projects
- Complete administrative forms for competitive bids, ensuring accuracy and timeliness
- Compose and proofread letters and other correspondence, ensuring solid grammar and professional tone
Supervision/Onboarding
- Supervise the receptionist and administrative staff, providing guidance and support to ensure efficient office operations
- Assist with the onboarding process for new employees, including preparing onboarding materials and facilitating orientation sessions
Purchasing/Bookkeeping
- Place office supply orders as needed and manage associated vendor relationships
- Perform light bookkeeping duties, including basic financial record keeping and reporting.
QUALIFICATIONS:
- Bachelor's Degree preferred
- 5 years’ experience in an administrative role; some experience supporting executives preferred
- Strong organizational and multitasking skills
- Able to work independently and take initiative without constant, direct supervision
- Ability to supervise and manage administrative staff
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)
- Basic bookkeeping knowledge
- Ability to supervise and manage administrative staff
- Detail-oriented with strong problem-solving abilities
- Ability to handle confidential information with discretion
- Comfortable with technology and willing to learn new software and tools
