Reports to: Director of Clinic Operations

Pay: Hourly at $15 per hour

Hours/week: 25 hrs per week

Main Function:

This position is responsible for overseeing and facilitating clinic operations; and supervising volunteers/interns ensuring that Clinica Amistad has enough unlicensed volunteers and public health interns to operate the clinic.

Summary

Clínica Amistad is a Tucson non-profit organization providing free primary healthcare services to those in need. This position will provide the necessary support to keep Clínica Amistad open to the public 9 - 10 days per month. The person chosen for this position must demonstrate the ability to perform the listed duties below. Much of the work will be offsite, however, the Assistant Clinic Manager will be required to open and close the clinic two evenings per week during hours of operation (Wednesdays and Thursdays from 4:30 - 9:30 pm) and the first Saturday of each month (from 9 am – 2 pm). Outside of clinic’s open hours and mandatory meetings, hours are flexible.

Job Duties

  • Supervise and improve the quality-of-care Clínica Amistad provides
  • Work with all staff and volunteers to coordinate effective, holistic care
  • Coordinate all clinic unlicensed volunteer staffing efforts
  • Solicit new unlicensed volunteers 3-4 times each year or more often as necessary
  • Review all applications and select prospective volunteers
  • Develop and update Power Point presentation for Orientation sessions
  • Schedule New Volunteer Orientation sessions and present information to new recruits
  • Responsible for the recruitment, selection, and training of incoming volunteers/interns; inspire and motivate them and keep volunteer hour tracking
  • Establish volunteer personnel files and ensure proper documentation is completed and scanned onto OneDrive shared with Director of Clinic Operations
  • Update Volunteer Roster in Google Drive and MailChimp
  • Assist Director of Operations to update Volunteer Handbook as needed
  • Responsible for attending periodic meetings with Director of Operations
  • Oversee all clinic operations when at the clinic and supervise and train volunteers/interns in various essential clinic roles
  • Call LabCorp for specimen pick up when needed
  • Remain up-to-date, knowledgeable, and compliant regarding all medical and administrative procedures related to Clínica Amistad
  • Assist in the supervision of paid staff: the Patient Referral Coordinator and the Data Manager
  • Assist in the supervision of the Undergraduate Public Health Interns to enter and compile data
  • Work collaboratively with Director of Operations, Patient Referral Coordinator, Data Manager and Patient Advocate
  • Interact with patients personally
  • Comfort upset patients and address patient concerns
  • Make occasional announcements and educational presentations to patients in Waiting Room
  • Manage, organize, and troubleshoot clinic systems and operations
  • Manage faxing system, appointment triage and patient scheduling
  • Oversee medical record-keeping
  • Communicate with Data Manager on volunteer hours and CA Stats
  • Working with Director of Operations, update training protocols and platforms; document volunteer proficiency and track readiness
  • Obtain volunteer availability through periodic Doodle Polls as needed; create new polls as needed
  • Create and publish weekly clinic schedules and announcements using MailChimp platform; schedule required to be sent no later than Mondays at noon
  • Supervise volunteers/interns to assure quality control in clinic procedures and retrain when necessary, during clinic hours:
  • Vitals Takers
  • Provider Helpers/Scribes
  • Medication Room (in conjunction with Director of Operations)
  • Front Desk intake and check-out
  • Dispatch
  • Medical Records organization and filing
  • Provide volunteer verification when called upon and write letters of recommendation and complete internship evaluations
  • Identify outstanding volunteers and present recognition awards.
  • Work with Director of Clinic Operations, Executive Director of Development, and committees to organize annual Volunteer Appreciation event
  • Evaluate applicants and make recommendations for annual student-volunteer scholarship awards.

  • With Director of Operations, monitor ADHS & ADOSH compliance throughout the clinic
  • Set up periodic training sessions for staff and volunteers/interns: CPR, Blood-borne Pathogens, First-aid
  • Disseminate new and updated information to all volunteers/interns, providers, and staff in a timely manner
  • Encourage Provider participation in Clínica Amistad and forward provider requests to Director of Operations and Medical Director
  • Notify Director of Operations of low levels of office supplies, medical supplies, and equipment malfunction
  • Attend mandatory meetings
  • Monthly Board of Directors meetings (3rd Monday 6:30-8 pm, subject to change)
  • Monthly Quality Assurance meeting (Friday before 3rd Mon 1:30 – 3:30 pm, subject to change), complete QA meeting minutes and send to BOD
  • Represent Clínica Amistad to appropriate community groups and tabling events
  • Schedule and lead special guest tours
  • Must be updated on all workstations in order to cover for last minute volunteer cancellations
  • Other duties and responsibilities as assigned

Qualifications:

  • Embrace the mission of Clínica Amistad to deliver primary integrative healthcare to those without health insurance or the means to obtain it.
  • Bilingual Spanish-English highly desirable
  • Bachelor’s degree required
  • Ability to work with minimal supervision
  • Proficiency in Excel spreadsheets and Word
  • Organized/detail-oriented
  • Strong interpersonal skills
  • Excellent written and verbal communications skills required
  • Ability to trouble shoot computers, internet connectivity, and printers a plus!
  • Maintain consistent communication with Director of Operations
