JOB DESCRIPTION
POSITION: Assistant Manager
SUPERVISED BY: Practice Manager
Direct responsibilities for reception staff including verifying inventory of retail products once a month, order assigned retail when necessary, and maintain a clean and organized retail area along with decorating the retail area for promotions/seasons. Works with Practice manager to maintain ownership of retail sales for company to meet goals. Additional responsibilities include greeting clients upon arrival and coordinating their visit with appropriate staff members in an efficient and pleasant manner. Provide effective communication with client by telephone, email and in person. Responsible for booking appointments, educate and sell retail products, and maintain a clean and stocked Receptionist Area including Sub-waiting.
QUALIFICATIONS:
· At least 5 years experience in a similar capacity involving direct communications with the public and/or clients, preferably in a retail or hospitality setting
· Associate Degree minimum
· Computer/phone/typing experience required
· Trustworthy and responsible
· Excellent telephone etiquette and communication skills
· Warm, enthusiastic and hospitable personal manner
· Outstanding listening skills and ability to empathize with others
· Good organizational skills and detail orientation
· Confidence and experience in dealing with client relations and complaints
· Appropriate sense of discretion in dealing with varied and difficult situations
· Ability to convey a positive attitude in all dealing with others, whether clients or staff members
AREAS OF SUPERVISION:
· Retail
· Reception Staff
RESPONSIBILITIES:
· Supervise and manage all aspects of the Reception Department
· Supervise all aspects of inventory for company
· Verify inventory once a month and explain to Practice Manager any overages or shortages
· Order assigned retail and maintain stock
· Maintain a clean and organized retail space including decorating for promotions and seasons
· Work with Practice Manager to meet company retail goals
· Warmly greet and assist clients with check-in, billing and check-out process
· Receive incoming telephone calls promptly and politely, practicing proper phone etiquette
· Explain specific spa treatments and services and advise clients in choosing the best services for them based on their needs and interests
· Accurately book, change and cancel spa appointments
· Inputs rewards points and helps patients sign up
· Assist and educate clients with spa retail purchases
· Conduct tours of the spa facilities for potential clients when requested by management
· Possess a thorough sales knowledge of all spa and clinic services, rates and retail product costs
· Maintain a thorough knowledge of general facility programs and services, and be able to explain them to clients
· Maintain control of point-of-sale area and follow established guidelines for payment/sale process
· Accurately promote and provide detailed descriptions of retail products, sales and special promotions
· Follow-up on product sales recommendations by aestheticians and therapists and sell retail products to interested clients at reception desk
· Maintain retail inventory in retail area as necessary
· Maintain orderliness and cleanliness of retail area
· Keep Spa Reception Desk and lobby reception areas immaculate
· Attend staff meetings as requested
· Be flexible with your schedule, supporting the needs of the clinic and spa
· Protect the privacy of all clients and handle with discretion any information they may provide to the spa
· Maintain a presence of calm composure, even in the most stressful situations
· Be ready to assist any staff member or client who needs help in a genuinely friendly manner
· Work diligently to support the Coachlight Skin Clinic & Spa hospitality and team philosophy throughout the facility
· Comply with all departmental and company policies including HIPAA
· Maintain confidentiality of all Coachlight Skin Clinic & Spa proprietary information
· Promote positive client relations for all clients by providing prompt, courteous and efficient service.
· Resolve client complaints in a manner which promotes positive client relations
· Maintain accurate Coachlight Skin Clinic & Spa information through daily use of email and other forms of communication
· Maintains proper office opening and closing procedures

Pay: $23.00 - $25.00 per hour
