What are the responsibilities and job description for the Team Operations Coordinator position at College Football Playoff?

Position Description: The Team Operations Coordinator assists with all team, band, and spirit squad logistics for all rounds of the College Football Playoff (CFP). Areas of focus include but are not limited to, the following: band and spirit squad logistics; team and band/spirit squad hospitality programs; participating institution mementos; and written correspondence with participating institutions.
Reports to: Director of Team Operations
Primary Responsibilities:
• Assist in the planning and execution of all events and operations associated with the teams, bands, and spirit squads participating in the CFP National Championship.
• Serve as the primary liaison for participating bands and spirit squads for the National Championship.
• Plan and execute events for participating bands and spirit squads.
• Assist with the management of the band and spirit squad hotels, including sleeping rooms, meeting spaces, transportation movements, parking, security, food and beverage, and other operational matters as needed.
• Manage the honorary captains’ program at the national championship game.
• Coordinate hospitality programming for participating institutions (e.g., hospitality rooms, hospitality events) in conjunction with our CFP planning partners and CFP Team Operations staff.
• Assist the Assistant Director of Team Operations with outlining catering needs for the bands and spirits squads at the game venue for the National Championship.
• Create and update the National Championship Participant Guide that outlines essential information for the participating institutions and develop presentations to discuss this information with the participating institutions.
• Assist with establishing CFP policies and protocols as they relate to the participating institutions for the playoff.
• Assist in communications and collaboration between the CFP, New Year’s Six bowl games, and the participating institutions that participate in the playoff, utilizing Smartsheet for administrative forms.
• Coordinate with Disney Ad Sales all sponsor partnerships that impact the teams (e.g., Gatorade, AT&T, donated products, decals, patches, and helmet stickers)
• Curate a gifting program for student-athletes, official travel parties, bands, and spirit squads and determine the best method to distribute gifts in conjunction with the CFP Events and Hospitality Services staff and bowl partners.
• Assist with the management of all operational expenses within the approved budget.
• Collaborate with other CFP staff on office-wide projects as needed.
• Perform other duties as assigned.

Skills and Qualifications:
• Bachelor’s degree required; Master’s degree preferred.
• One or more years of experience in athletic operations or related fields.
• Excellent communication and interpersonal skills.
• Ability and willingness to work cooperatively with others.
• Discretion when dealing with confidential matters.
• Professionalism and problem-solving skills.
• Attention to detail and adaptability to a changing college sports environment.
• Ability to manage, prioritize, and bring multiple projects to completion.
• Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
• Basic experience with graphics tools (e.g., Photoshop, InDesign) preferred.
• Available for travel on CFP business.
• Flexibility to work long hours including evenings and weekends.
