Legal Secretary (Full-time):  Provides administrative, operational, and clerical support to  the Commonwealth's Attorney's Office.  Must be able to work 8:30 AM - 5:00 PM, Monday through Friday.
 
  • Provides administrative, operational, and clerical support to assigned department. 
  • Ensures internal and external phone calls are answered courteously and professionally.
  • Receives incoming visitors and provides excellent customer service.
  • Develops, prepares, distributes, and files correspondence, reports, and other documents.
  • Proofreads reports, documents, and publications. 
  • Creates, maintains, and updates databases and other files. 
  • Manages paper or electronic filing systems, records information, updates paperwork, or maintains documents.
  • Coordinates, schedules, and maintains calendars of meetings and events. 
  • Addresses public and professional inquiries, and performs other duties as required.
  • Other duties as assigned.
  • High School diploma and 7-10 years directly related experience or,
    Two years of college or Associate's Degree and 2-5 years directly related experience or,
    Bachelor's Degree and less than 2 years directly related experience or, 
    Any equivalent combination of education and experience.
  • Thorough knowledge of administrative practices, procedures, and equipment.
  • Experience as a secretary/paralegal in a law firm desirable.
  • Knowledge of Karpel Case Management System and VCIN and current Notary Public commission desirable.
  • General knowledge of and experience with computers and Microsoft Office software (Word, Excel, and Outlook).
  • Ability to communicate effectively both orally and in writing.
  • Strong skills related to composing correspondence, reports and case files.
  • Excellent organizational skills with the ability to multi-task with frequent interruptions while remaining organized and accurate.
  • Strong internal and external customer service skills and be highly professional.
  • Thorough knowledge of the structure and content of English language usage, spelling, grammar and punctuation.
  • Ability to work independently and in a team environment.
  • Ability to be accountable and maintain a high degree of confidentiality in the day-to-day activities of the workplace.
  • Ability to accept direction and assignments from internal staff at all levels.
  • Ability to work during the hours of 8:00 AM to 5:00 PM, Monday - Friday.
Physical Demands
The work is generally performed in an office environment.  Typically, the employee may sit to do the work.  However, there may be some walking, standing, stooping, carrying of light items such as papers, books, or small parts, or driving an automobile.  No special physical demands are required to perform the work.

Work Environment
The work environment involves everyday risks or discomforts which require normal safety precautions.  Use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals are minimally required.
