Responsibilities:
Office Administration: Manage Outlook Calendar for meetings and visitations for all sites
• Act as the phone operator and front desk host
• Support Human Resources department, as needed
• Work closely with management to support employee morale and workplace environment.
• Receive Mill Certs and process them in Power term or Metals website for Elgin, Hampshire, Bristol, Michigan and Bellwood on an ongoing basis.
• Korean COO (Certification of Origin)-Print Sales Orders, Packing Slips & Corresponding Paperwork.
• Check in material from Bellwood
• Receive Haynes material in CMC
• Print ESM certs when Shipping team request for assistance.
• Keep in touch with production & safety managers with any new safety protocol.
• Assist in evaluation of Quality Reports. Recommend NEW approaches, policies, and programs for continuous improvements in efficiencies of the department and organization
• Call Chamber of Commerce to confirm if notary can be today for shipment. Send documents and have Quality Control Manager sign. Scan to sale and shipping dept.
• Amend CERTS for all sites.
• Safety Visitor presentation to be turned ON,
• Customer Visitation, Special Visits to be edited to the specific requirements
• Process Mail received daily and send packing slips to Payables in Hampshire.
• Maintain the fridge in the board room.
• Create File Folder in Elgin1 SO folder and Scan/save Sales Orders.
• Make copies of Covid-19 questionnaire for lobby. File Covid-19 questionnaire forms. Provide mask weekly for office staff.
• Check specs per PO number. Send email to Commercial Director & Production/Process Engineer, if they do not match and that requires any updates
• Receive vendors supplies and check in PO into CMC.
• Complete QT9 trainings when assigned and support as a QT9 Administrator with Scorecards, Employee files, & Supplier survey
• Support all sites with procurement of office supplies,
• Perform other related duties as assigned by the Quality Manager and / or Executive Management.
Position Requirements:
• Answer Switchboard and Lobby window throughout the day.
• Amend certs for Elgin as needed.
• Be able to work in teams Be a good communicator
• Scan Certs and save the SO in the relevant folders.
• Basic Computer Skills: (to include internet browsing) Microsoft Office, Excel, PowerPoint
