What are the responsibilities and job description for the Accountant position at Computer History Museum?
Position Summary
The Computer History Museum seeks an experienced, professional and detailed oriented Staff Accountant with a “can-do” attitude who enjoys working as a team in order to meet departmental goals and deadlines. The position has key responsibilities for the administration of Accounts Receivable, with special emphasis on gift entry and recurring giving, and assistance with Accounts Payable, month-end close, annual audit, annual 990 prep, payroll review and special projects. He or she will work with any and all Finance, Development, and Operations personnel to ensure timely and accurate processing of transactions.
Responsibilities
Accounts Receivable / Gift-Entry Support, including Recurring Giving
- Provides gift entry support, including restricted and unrestricted contributions and memberships, into Salesforce and NetSuite with guidance from Development, and Finance Director. Other duties may include sorting mails, scanning checks and corresponding related communications, and matching contributions with appropriate opportunities and campaigns within Salesforce and validating proper migration into Finance NetSuite database.
- Assures timely and accurate invoicing of revenue-related transactions, including those related to donations, memberships, CHM programs, exchange transactions, and venue rental.
- Assures timely collection of monies due to CHM by communicating with Development and Operations teams and/or customers and donors, where appropriate.
- Ensures proper application (checks, bank wires, credit cards, etc.) making sure all receipts are applied properly, proper backup is saved, notification is received by Development team and receipts are timely deposited.
- Performs reconciliation between ticketing and store POS systems, and Netsuite.
- Makes recommendations on improving quality of invoicing and collection procedures.
Venue Rental Accounting Assistance (when needed and as back-up)
- Reviews Venue Rental contracts and creates sales orders.
- Provides timely and accurate customer invoicing of venue rentals with guidance from Venue department, Senior Accountant and Finance Director. Tracks and processes payment receipts for deposits and rental payments, and reconciles final monies owed and/or due from Venue Rental customers. (Maintains summary Venue Rental schedules and deferred Venue Rental schedules and books revenue recognition accordingly).
Accounts Payable (when needed and as back-up)
- Assists when needed with Accounts Payable, including matching invoices and expense reports to proper backup, inputting invoices in NetSuite, cutting and mailing checks, and filing.
- Collects and maintains required W-9’s.
Accounts Reconciliation / Bank Reconciliation (when needed and as back-up)
- Monitors accrual and prepaid accounts for accuracy.
- Completes bank reconciliations with Finance Systems Director review on a monthly basis.
General Finance Department Support
Provides support in other areas within Finance as needed including month end close, annual audit, sales tax filings (by due dates), special projects, filing and organizing and other duties, as assigned.

Qualifications and Skills
- Bachelor’s degree – finance or accounting degree preferred
- Knowledge of basic accounting principles
- Over 3 years of work experience in accounting or finance
- Prior experience working with CRM/ERP systems (especially Salesforce) preferred
- Experience with NetSuite desirable
- Attention to detail, accuracy, and deadlines
- Ability to accurately follow Finance policies and procedures
- Proficient with MS Excel
- Good team player with strong communication skills
- Self-starter and self-motivated

Salary : $70,000 - $80,000
