We are seeking a highly organized and adaptable Executive Assistant to support the President of our Real Estate and Development company. This role is essential in ensuring the smooth operation of executive-level functions while handling a fast-paced and ever-evolving environment. Key Responsibilities:
Provide high-level administrative support to the President of Real Estate and Development, including managing calendars, scheduling meetings, and organizing travel arrangements.
Act as a liaison between the President and internal/external stakeholders, ensuring clear communication and coordination.
Prepare and organize materials for meetings, presentations, and reports; take detailed minutes as needed.
Handle sensitive and confidential information with integrity and discretion.
Assist in project management activities, tracking deadlines, deliverables, and ensuring follow-up on key initiatives.
Adapt to changing priorities, managing last-minute requests and unexpected developments with composure.
Perform general administrative tasks, including filing, office organization, and expense report preparation.
Handle and resolve inquiries and issues independently when possible.
Work closely with the leadership team to ensure the President is supported in daily functions.
Qualifications:
Bachelor’s degree required.
Minimum of 3-5 years of experience in an executive assistant or administrative role, preferably in real estate, development, or a related field.
Exceptional adaptability and ability to thrive in a fast-paced, ever-changing environment.
Strong organizational and multitasking skills, with a proven track record of managing competing priorities.
Excellent communication skills, both written and verbal.
High emotional intelligence and tough skin – must be able to handle high-pressure situations with professionalism and poise.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle confidential and sensitive information with a high degree of professionalism.
Proven ability to work independently, prioritize effectively, and anticipate the needs of executives.
Preferred Qualifications:
Experience in the real estate or development industry.
Knowledge of project management tools and practices.
