What are the responsibilities and job description for the Project Coordinator position at Confidential?
Duties & Requirements:
- Serve as the “owner” of assigned calendar. Ownership entails ensuring the weekly production schedule reaches maximum revenue opportunities and consistently achieves assigned goals. This includes replacing cancelled or rescheduled jobs with revenue opportunities immediately once the change is known.
- Calendar maintenance to include full data capture of all project details, changes, pertinent customer notes, etc.
- Review of design plans and contract prior to scheduling to identify discrepancies, additional information needed, and/or custom requests that will impact scheduling.
- Provide a Welcome Call to customers with confirmed contracts within 24 hours of receipt from Sales team. This call may or may not include the planned schedule date for the project. If not, a follow call is placed with dates and subsequent calls/emails are sent daily until the customer verifies the date is acceptable.
- Confirm all payment methods prior to mobilization of the project including any financing. Coordinate with the Sales team for any new financing applications and follow up that all are in place and for the full amount due prior to final appointment reminder call. Reschedule those customers who cannot confirm a payment method prior to mobilization.
- Make confirmation calls to all customers 24-48 hours prior to finalize payment plans and prep work completions.
- Assemble all job plans at least one day prior to mobilization and clearly identify Foreman responsibilities for signature and payment collection.
- Process all completed job plans including paperwork, invoicing, and processing of credit card payments by 10am the day following project completion.
- Track and document all customer phone calls, emails, and/or text messages though CRM.
- Handle customer service calls with poise and professionalism in a timely manner.
- Collaborate with the Service Department to effectively manage service sales revenue opportunities and scheduling including service dispatch.
- Data entry and document uploads into CRM and other applicable databases in accordance with company standard operating procedure.
- Assist with tracking procurement through PO Log management and order follow up.
- Other duties as assigned.
Work Experience/Qualifications:
- 3 years relevant experience
- Core hours for this position are 6:30 am to 4:30 pm, but flexibility is required to accommodate customer schedules and ensure crews have completed work appropriately.
- Be able to pass background check and drug test
- Must possess and maintain a clean, valid driver license
Physical Requirements:
- Lifting a minimum of 60 lbs.
- Working in confined workspaces that may require crawling, kneeling, crouching
- Standing for extended periods of time.
- Carrying, climbing, pulling, sitting, stooping.
- Ability to withstand working in different weather environments including extreme cold and heat.
