What are the responsibilities and job description for the Part time Family Wellness Receptionist position at Congreso?
Congreso seeks an administrative professional with excellent customer service skills to provide reception support for our Family Wellness department. This department provides counseling, advocacy, and support groups for families who have experienced domestic violence and other crimes. The Family Wellness Receptionist greets clients, answers questions, and supports the Intake teams by staffing the waiting room when they meet with clients. Candidate musts be bilingual (Spanish/ English) to be able to communicate effectively with our clients. The ideal candidate is trained in trauma-informed care.
This position reports to the LDVP Program Manager. This is an on-site position based on the 3 th floor of 216 W Somerset Street. It requires being on site up to 25 hours per week.

Essential Functions
3 th Floor Reception
- Staff the front desk and control the flow of client traffic on the 3 rd floor.
- Greet clients as they arrive on the 3 th floor
- Direct clients with appointments to the appropriate person and office
- Answer, screen, and forward incoming phone calls, respond to voicemails promptly.
- Provide basic and accurate information on Family Wellness programs, including program details, eligibility information, and enrollment procedures.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g. pens, forms and brochures)
- Support intake teams with making photocopies and scans of client documents for client applications.
- Support with Family Wellness Data Entry.
- Provide childcare support as assigned to allow survivors to participate in counseling, advocacy, and support group services.
- Comply with all client confidentiality regulations as specified by agency, funding source, local, state and federal regulations
- Regularly attend and actively participate in staff meetings, staff training sessions, case reviews, etc
Non-Essential Functions
- Attend relevant workshops or join professional groups as necessary to maintain professional knowledge and licensure.
- Adheres to the Congreso’s security guidelines and ensures the appropriate handling of sensitive information.
- Facilitates and attends relevant staff meetings to promote communication and execution of goals.
- Completes special projects specific to the function of the department or as needed for the department as directed by Supervisor.
- Other duties as assigned within the scope of position expectations.

- Ability to operate a computer and use a variety of common software programs including Microsoft Office, spreadsheets, UNIDAD, and customized databases.

- Strong written and verbal communication skills and effectively communicate with individuals and groups.
Minimum Experience, Education, and Qualifications
- Strong oral and written communication skills are required in Spanish and English.
- FBI and PA criminal background checks required
- At least one year of administrative experience is required.
- Must demonstrate customer service commitment and ability to maintain confidentiality.
- This person should have strong attention to detail, be highly organized and able to prioritize work in a fast-paced setting.
- Ability to work independently and supervise staff and work as part of a team.

Minimum Education: High school diploma or above is required.
