Control Union is currently looking for an Administrative Coordinator. The position is a salary, full time position and non-exempt.
Reporting hierarchy for the Administrative Coordinator
- Operations Manager-Technical (OMT)
- General Manager (GM)
- Managing Director (MD)
- Responsible for handling the documentation related to vessel operations.
Detailed description of tasks and responsibilities for the Administrative Coordinator
- Receive incoming job orders from clients, and assign a Job number/file for follow-up
- Prepare COS (Confirmation of Services) to clients
- Prepare NOA (Notice of Attendance) to appropriate parties (Supplier/Seller/Terminal)
- Prepare ARS (Analysis Requirement Sheet) to appropriate lab
- Prepare IRS (Inspection Requirements) to appropriate CU Offices/Field Staff
- Liaison with personnel of CU offices/subcontractor for execution of orders
- Track progress of job and update client accordingly
- Check and verify documentation received from CU offices/subcontractors for accuracy
- Issue reports/certificates / invoices
- Email/mail/courier to client necessary documentation
- Weekend updates when assigned
- Assist GM/OM/QM/MD in any miscellaneous administrative duties
- Proficient in MSWord, MSOffice Excel, scanning, email functions
- Familiarity with bulk cargo operations
- Good communication skills (oral and written)
- Analytic skills
- Minimum - High school diploma
- Preferred – Bachelor´s Degree (Business, Agricultural, Social Sciences, etc.)
- In house training to be initiated by OM, GM and/or staff
