Receptionist – Office Administrator
Blue Island, IL
OVERVIEW:
- The Receptionist-Office Administrator will work to support the daily operations of the office. This will include supporting multiple areas with a variety of tasks, which include answering phone calls, collecting customer/client information, communicating information to appropriate staff, data entry, and assisting accounting in clerical tasks.
- This is an at will position.
SUPERVISION AND EXERCISE RECEIVED:
- Receives direction from the OOA and reports to the Operations Manager.
EXAMPLES OF ESSENTIAL FUNCTIONS
- Answers phones and takes detailed messages and attempts to answer questions prior to transferring or disconnecting.
- Create a majority of the daily jobs within PSA.
- Coordinates all the Docusketch inspections with the Insureds and monitors the progress of the Docusketch process.
- Receives and opens all mail and distributes accordingly. All checks to be scanned into the files. files noted and communicated to the appropriate team and then checks delivered to accounting for deposit. Process outgoing mail and shipments.
- Assisting with the ordering of all office supplies and uniforms.
- Assisting in the management of all the house accounts such as the Printer, Coffee, Pest Control, Utilities, Alarm, Answering Service, Etc.
- Manage the organization and stocking of both lunchrooms with utensils and supplies.
- Assist Accounting A/R and A/P in receiving and processing invoices from sub-contractors and vendors with a Voucher or Purchase Order.
- Keep all office machines in proper working order. (i.e., Copier, Postage System.)
- Manage the On-Call System Calendar.
- File Management: Scanning and copying documents as needed.
- Greeting and welcoming visitors and directing them appropriately.
- Assisting colleagues with administrative tasks as needed.

EDUCATION AND EXPERIENCE:
- High School Diploma or Equivalent.
- 1-2 years’ experience as an administrative assistant, secretary, or receptionist preferred.
LICENSE AND SPECIAL REQUIREMENTS:
- Valid State driver’s license
PHYSICAL DEMANDS:
- Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone. This is primarily a sedentary office classification although standing in work areas and walking between work areas may be required. Tasks may require extended periods of time at a keyboard. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, typewriter keyboard, or calculator and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects, up to 30 pounds, necessary to perform job functions.
WORKING CONDITIONS:
- Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.
- Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.
