ROLE AND RESPONSIBILITIES

We are looking for an experienced Office Manager to join our team. This individual will be responsible for supporting the project managers with key tasks to ensure efficient and effective operations, managing the office systems and processes, and providing customer service. The Office Manager should have experience in business, communication, project management, customer service, and/or organizational management.

· Assist Project Manager and office staff with various administrative support

· Preparing quotes, coordinating meetings, customer experience, etc…

· Follow up on telephone & email inquiries and respond as appropriate

· Manage timecards

· Implement and/or support office processes and systems

· Schedule and coordinate calendar appointments

· Obtain city and county permits and plans

· Assist with reviewing/updating documents and reports

· Prepare meeting agendas and prepare minutes from meetings

· Coordinate internal resources and third parties/vendors for smooth execution of projects

· Order and manage materials for jobs and the office

· Prepare internal and external reports pertaining to job status

· Analyze, manage and mitigate risks related to the jobs on the schedule

· Establish and maintain relationships with third parties/vendors

· Create and maintain comprehensive business documentation

Qualifications and Education Requirements

· Associates/Bachelors preferred but not required

· 5 years of administrative office experience

· Comfortable with Microsoft Office (Excel, Word & Outlook)

· Construction industry experience is a plus

· Team player, reliable, thorough, and dedicated

· Attention to detail, multi-tasker, and organized

· Ability to plan and see the “big picture” and adapt as needed

Preferred Skills

· Excellent client-facing and internal communication skills

· Excellent written and verbal communication skills

· Strong organizational skills including attention to detail and multi-tasking skills

· Excellent time and project management skills

Job Type: Full-time

Pay: $50,000.00 - $70,000.00 per year

Benefits:

  • Paid time off

  • Monday to Friday
