POSITION SUMMARY:

From inception to completion, the Cornerstone Event Producer (EP) manages local, regional, and national events of all shapes and sizes. The EP is primarily client-facing and works to develop a deep understanding of the event's needs while guiding budgets and logistics throughout the process. The EP also helps manage the event team, including all technical, creative, and logistics personnel, ensuring a seamless and successful event. Our end goal is to produce mind-blowing, standing-ovation-delivering events that keep our clients coming back, show after show, year after year.

 

POSITION REQUIREMENTS:

Education: Bachelor's degree in a related field is preferred, but relevant work experience will be considered.

Experience: Three years of prior corporate event and project management experience are required. Audio-visual technical experience is also preferred.

 

Qualifications:

  • Exhibit effective time management skills as the position often requires overseeing multiple projects simultaneously.

  • Understand the demands of the events industry, including long days, weekends, and extensive travel.
  • Proficiency in budget management is important for ensuring that events are executed within financial constraints while still meeting quality standards.
  • Contribute creative concepts that embrace new trends and ideas.
  • Events can be unpredictable, so flexibility and adaptability are key traits for an Event Producer to possess.
  • The ability to think quickly on your feet, remain calm, and solve problems as they arise is crucial for handling unexpected challenges during events.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:


General Duties

  • Event Planning: Lead the planning process for events from conception to completion, including budgeting, scheduling, and logistics.
  • Vendor Management: Coordinate with various vendors such as caterers, venues, audio-visual technicians, and decorators to ensure all aspects of the event are properly arranged.
  • Risk Management: Identify potential risks and develop contingency plans to mitigate them, ensuring the safety and security of attendees and the success of the event.
  • Sales: Participate with the Cornerstone sales team to pitch proposals to potential clients as needed.
  • Team: Actively work within the Event Producer and Production Assistant departments to build a thriving team environment while espousing the Cornerstone mission and vision.
  • Multitask: Develop systems and procedures to manage multiple projects and tasks efficiently.
  • Software: Learn and utilize the various software programs Cornerstone uses to manage events and operations, including Lasso, Flex, Microsoft Office Suite, and Monday.com.
  • Other Duties: Any other duties needed to help drive our Vision, fulfill our Mission, and abide by our Organization’s Values.


Pre-Event Management

  • Guide the client through the various phases and details of the event, including budgets, schedules, and logistics.
  • Schedule site visits as needed to understand the unique demands of the location.
  • Create an ongoing meeting schedule with the client to facilitate all event details in preparation for the final event, including detailed scope of work documents, timelines, and project schedules.
  • Manage client questions and concerns as the main point of contact throughout the event cycle.
  • Meet with the assigned internal team, including the Technical Director, to create needed event details, including all CAD drawings, equipment lists, labor needs, video elements, scenic builds, and final logistics.
  • Work directly with subcontractors, rental companies, suppliers, and vendors to procure needed elements while managing all associated costs.
  • Communicate with the Accounting department throughout the process to ensure the completion of all financial tasks.
  • Maintain quality control throughout the process while identifying issues that may impact the budget, schedule, and project.

 

Event Management

  • Meet all client needs with professional onsite management via production schedules and timelines.
  • Understand all venue requirements, including fire, health, and safety regulations, to ensure compliance with all local laws and the well-being of the staff.
  • Maintain communications to relay all relevant information to internal and freelance event labor, vendors, and venue staff throughout the event.
  • Promptly manage any onsite issues that arise during the event.
  • Work with the Labor Coordinator to manage event staffing.

 

Post-Event Management

  • Finalize all event reports, including accounting and billing details.
  • Prepare exit reports to close out projects.
  • Schedule post-mortems with all key personnel after the event's completion to discuss improvement areas.
  • Review profit and loss information after each event to understand profitability in relationship to department goals.
