Summary:
The primary duty of the Front Desk Receptionist is to act as a liaison and serve as an information source between the hospital, its departments, and the public. Excellent customer service and communication expertise must be demonstrated at all times. The Receptionist is responsible for coordinating the timely delivery of accurate information, items, and equipment to appropriate destination. The Receptionist provides additional assistance and support to ensure that guests reach their destinations and keep appointments as scheduled. Receptionists work closely with and take responsibility for processes that directly involve other departments. Receptionists must be able to work independently while serving as an integral part of a cooperative team.

Responsibilities:

Answer multi-line phones, transfer calls and effectively communicate with caller.
Access the electronic medical record system to verify appointment information and accurately direct patients, visitors, and all other Covenant customers to the appropriate area of service.
Accurately directs patients, visitors, and all other Covenant customers to the appropriate area of service.
Escorts Covenant’s customers to departments or nearest elevators whenever possible.
Maintains patient testing, procedure, education, surgical and volunteer staffing schedules. Maintains department supplies and forms.
Maintains hospital and department resources (i.e. policy, safety and infection control manuals, Department orientation and resource manuals, etc.
Provide support to the surgical service department by providing information to waiting families and serving as a liaison between the surgeon and family members.
Receives, holds, notifies, and distributes mail and various items for the Front Desk Resource Team and other departments, until such time a representative of same picks up their items.
Training of new staff/volunteer.
Works with volunteers in delivering mail and flower items to patient rooms.
Connects vendors, caterers, interviewees etc. with appropriate staff/departments.
Maintain appropriate number of wheelchairs for daily needs, cleaning as appropriate.
Other duties and special projects as assigned.

EDUCATION/EXPERIENCE REQUIREMENTS
High school diploma or GED required.
Training in office, secretarial, or computer field preferred Receptionist/Customer Service experience required.
KNOWLEDGE/SKILLS/ABILITIES
Excellent oral and written communication skills.
Ability to explain situations and issues to people in a tactful, cooperative, and diplomatic manner.
Demonstrates excellent customer service.
Excellent interpersonal skills consistent with teamwork, patient consideration, and cooperation are required.
Ability to perform calmly and effectively in a crisis situation.
Mental ability to interpret and translate facts and information.
Computer literacy, typing, word processing, and navigation of electronic medical record system.
Copy machine, multi-line telephone, filing and excellent organizational skills required.
Ability to plan a schedule, work on paperwork or other projects as assigned.
Maintains department supplies and forms.
Maintains patient testing, procedure, education, surgical and staffing schedules.
Accesses e-mail or electronic folders where department information is kept routinely.
Must be able to calmly handle multiple tasks, recognize and efficiently manage stressful situations in an empathetic and compassionate fashion.
Work as a contributing member of a team.
Some travel between campuses is required as necessary to attend meetings, assure front desk coverage or for the purposes of staff development as deemed appropriate by management.
Must be able to push patients by wheelchair.
