General Description: Coordinator, Development & Communications: is responsible for overseeing the development and management of the Volunteer & In-kind Gift programs, including scheduling groups and individuals and gift acceptance policies. In addition, develop comprehensive prospect research management reports to support major and planned giving as well as provide support to annual agency-wide events, including “A Night of Broadway Stars”, Sleep Out (Executive and Young Professional editions) the Young Professionals events, third-party (DIY) events and other administrative tasks. This position reports directly to the Director of Development and Communications.
Educational and work experience requirements:
- Bachelor’s degree in Public Relations, Marketing or Development preferred.
- Minimum 2 to 3 years’ experience in volunteer management, special events, marketing or development.
- Experience in working with volunteers and other community resource programs.
- Strong written and verbal communication skills
- Strong public speaking skills
- Strong organizational skills
- PC/Computer literacy with working knowledge of Microsoft Office required, Raiser’s Edge and third-party special event software (Greater Giving preferred).
- Valid Driver’s license with acceptable driving record as required by agency insurance company.
- Sufficient health, ability, experience, and education to perform the assigned duties with or without accommodation.
- Belief in Covenant House Mission Statement and desire to fulfill the mission.
- Awareness of and sensitivity to the needs of homeless and at-risk youth that Covenant House Michigan serves.
Essential skills and abilities:
- Ability to establish and maintain effective working relationships with CHM employees/clients and the public.
- Ability to effectively communicate, verbally/writing with internal and external individuals and/or businesses.
- Ability to work independently and part of a team
- Ability to work primarily at desk/computer for approximately 8 hours per day.
- Ability to drive agency or personal vehicle to transport items and/or persons.
- Ability to handle multiple tasks and projects.
- Ability to lift and move items typically weighing 5-35 pounds.
Responsibilities (include but are not limited to):
- Uphold CHM standards of conduct, policies and procedures in the spirit of the Covenant House Mission at all times.
- Attend and participate in all scheduled or mandatory meetings, training and supervision sessions as requested.
- Manage all volunteer activities for CHM, including groups/individuals on campus and volunteers for special events.
- Oversees all volunteer management responsibilities, including orientation and training sessions.
- Ensure all volunteers and in-kind donors are entered into Raiser’s Edge.
- Works closely with HR Director to ensure volunteer files are complete and accurate prior to beginning assignment.
- Monthly formalized meetings with program staff to evaluate volunteers and their responsibilities. Update volunteer file based on review. Talk with program staff about additional needs.
- Maintains policies and procedures for volunteers and conducts regular evaluations and feedback surveys.
- Maintains accurate records and provides timely statistical and activity reports on volunteer participation.
- Oversee volunteers to manage Clothing Closet.
- Responsible for maintenance of Clothing Closet. Work directly with program staff for resident needs
- Determine current Wish List for in-kind items needed, inform donors of needs, schedule and accept donations. Manage inventory for all donated items to ensure proper distribution and to maintain a supply for the campus needs.
- Develop relationships with in-kind donors.
- Responsible for tracking in-kind donations for financial purposes using “ItsDeductible” website.
- Develop a comprehensive prospect research management program to support major and planned giving.
- Encourage and assist donors and groups in developing DIY (Do It Yourself) Campaigns and Third-Party events to increase monetary and in-kind donations.
- Support Development and Communications team for agency special events with various tasks such as silent auction support, entering data into “Greater Giving” and working with the day-of volunteers.
- Perform all other tasks as requested by the Director of Development and Communications and the executive leadership team.
