Covia is looking for a dynamic Office Administrator who will positively impact the Operations team at its Guion, AR location. The Office Administrator is responsible for performing administrative, payroll, and shipping duties for the Guion Plant. This role accomplishes specific assigned functions and tasks while assisting the Operations Manager with various administrative details.
The successful incumbent will have the following Key Accountabilities:
- Coordinate and maintain effective office procedures and efficient workflow.
- Implement Corporate and plant-specific policies and procedures.
- Greet and direct visitors and telephone callers to the appropriate person(s) as circumstances warrant.
- Take action authorized during the Plant Manager’s and/or Operations Manager’s absence to see that matters requiring attention are referred to the delegated authority or handled in a manner to minimize the effect of the Plant Manager’s and/or Operation Manager’s absence.
- Keep knowledgeable of Covia’s computer systems and software programs. Maintain computer security by using appropriate back up procedure and anti-virus software.
- Maintain appropriate records and manage them according to policy. Periodically purge files according to the Records Retention Policy and Procedure.
- Function as the primary contact for customers calling the plant. Take and process orders. Maintain a phone log of customer conversations. Serve as liaison with Corporate Customer Service to provide customers with needed support and processing of orders. Deal directly with Sales and/or customers to assure timely shipment of orders.
- Plan and schedule rail shipments. Work with rail service and Distribution to assure timely placement of empty cars and pulling of loaded cars. Keep records of incoming and outgoing cars. Arrange transportation for plant arranged shipments. Resolve problems with carriers.
- Work with the Operations Manager and Production & Shipping Supervisors to establish load out and shipment schedules.
- Update and maintain appropriate sections of the GLS database.
- Bill customer shipments and post using the Borque system. Train backups so that they are capable of billing cars on weekends or in times of absence.
- Compile daily, weekly, monthly, and annual reports of shipments and production as required.
- Prepare weekly and month end shipped and produced tonnage reports.
- Schedule and coordinate Weekly Planning meetings.
- Provide input to resolution of customer complaints, root cause analyses, and corrective actions.
- Aid in completing employee related functions in Covia’s HRIS system.
- Administer hourly payroll including input, transmission, and reconciliation.
- Maintain and oversee plant petty cash fund.
- Participate in the plant’s annual process assessment.
- Serve as a member of the plant’s Steering Team.
- Accept responsibility without direct supervision.
- Complete assigned projects in a timely fashion.
- Perform other duties as assigned and/or as judgment or necessity dictates.
The successful incumbent will have the following Minimum Qualifications:
- High school diploma or equivalent required
- 3 to 5 years of general administrative or reception experience required
- Knowledge of MS Word and Excel
- Computer skills demonstrated through prior work experience
- Preference given to prior experience working in ERP system
- Preference given to candidates with AA or AS degree
- Strong decision making and problem-solving skills
- Excellent communication skills, both written and verbal
- Pleasant, professional manner
