Position Overview:
The Executive Assistant to the CEO will play a critical role in managing the day-to-day operations of the CEO's office. The ideal candidate will have strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced, high-growth environment. This role involves a mix of administrative duties, project management, and strategic support, ensuring the CEO’s time is optimized for driving the company's growth and success.
Key Responsibilities:
- Administrative Support: Manage the CEO’s calendar, coordinate meetings (both internal and external), and handle all correspondence. Prioritize and organize the CEO’s workload, ensuring timely responses and follow-ups.
- Communication: Draft, proofread, and edit correspondence, reports, and presentations. Serve as a liaison between the CEO and internal teams, clients, and external stakeholders.
- Project Management: Assist in managing and tracking projects related to company growth, sales, operations, and strategy. Coordinate cross-functional team efforts and monitor deadlines to ensure alignment with company objectives.
- Meeting Preparation: Prepare agendas, materials, and presentations for CEO meetings, including quarterly executive communication sessions between the CEO, COO, and in-house commodities trader.
- Travel Coordination: Arrange and manage all domestic and international travel plans, including accommodations, transportation, and itineraries.
- Confidentiality: Handle sensitive information with the highest level of confidentiality and discretion.
- Relationship Management: Assist in fostering relationships with high-level executives, key partners, and clients. Maintain the CEO’s professional network by organizing and coordinating client meetings and events.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- 5 years of experience as an executive assistant, ideally supporting C-suite executives.
- Excellent verbal and written communication skills.
- Highly organized with exceptional attention to detail and ability to multitask.
- Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
- Experience in handling confidential information with discretion.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
- Ability to adapt to a fast-paced environment and anticipate the needs of the CEO.
- Interest or experience in the beauty/cosmetic industry is a plus.
