Job Summary:
creative werks is seeking a bright, energetic Office Coordinator. This is the first point of contact for all candidates, visitors, and vendors. The successful candidate is detail oriented, technology savvy, and embraces the challenge of answering phones and email while navigating meetings and greeting visitors. Responsibilities of the Position:
- Monitor conference room calendars to ensure seamless scheduling between multiple groups
- Coordinate catering orders for meetings
- Set-up food and beverages for all meetings, clean up conference rooms after each meeting adjourns
- Answer and transfer inbound main calls in a timely manner, ensuring short on-hold time
- Manage flow of office visitors and phone calls, with a professional demeanor
- Manage and update office calendar to reflect executive travel schedule and meetings booked in conference rooms
- Handle incoming and outgoing mail and deliveries, including FedEx accounts for shipping
- Sort and deliver daily mail
- Perform facility management, including tracking/ordering office supplies and office equipment
- Assist with planning and on-site logistics for annual and ad-hoc events
- Execute filing, scanning and other administrative projects as necessary
- Support Executive Leadership Team as needed
- Perform other duties as assigned by Management
Knowledge/Skills/Abilities:
- Above average computer proficiency – knowledge of computers, email, and social media
- Familiar with office equipment (i.e., printer, scanner, fax, copier, audio/visual)
- Presents a polished and professional demeanor over the phone and in person
- Strong verbal and written communication skills
- Responsible, dependable, and trustworthy
- Task-oriented, pays attention to the details, likes to organize
- Ability to work calmly under pressure with a variety of personalities, utilizing tact and diplomacy
Education and Experience:
- Experience as an assistant, front desk representative or relevant position required
Working Conditions:
- Office setting and warehouse environment with temperature range of 55 – 80 degrees
- This position may require the employee to work weekends or shifts other than their own to meet the needs of the business.
Salary : $40,500 - $51,300
