The Operations Manager is responsible for the day-to-day operations of the clinic. This position works with the Center Director to ensure excellence in delivery and execution of daily operations. This position is responsible for scheduling, authorization management, and facility management, with an eye toward clinic financial sustainability.
Job Responsibilities:
· Accountable for operational activities across multiple disciplines.
· Work with the Cross River Therapy clinical and support services teams to accept and process referrals.
· Responsible for managing key aspects of clinic operations toward performance targets, including scheduled hours fulfillment, clinical staff utilization and overall billable hours
· Day-to-day responsibilities include staff scheduling, facility management, family / patient communication, and new patient onboarding, among others
· Developing and maintaining the client / therapist master schedule to maximize clinic and therapist utilization, while fostering continuity and quality of care
· Modifying and changing daily schedules as needed to accommodate client and therapist absences
· Notifying clinical staff and parents of appointment changes in a timely manner
· Reviewing and approving therapist requests for time off in accordance with clinic scheduling guidelines and time-off policies
· Facilitating client sign-in / sign-outs at the beginning and end of each appointment, documenting late arrivals / pickups
· Ensuring clinical staff submit appointment documentation in a timely manner to support revenue cycle targets
· Building and maintaining professional working relationships with patients and their families, addressing all non-clinical family concerns
· Maintain relationship with landlord and sub-contractors, facilitating repairs and maintenance, as necessary
· Prepare for the arrival of and train new hires on administrative functions and policies
· Manage client authorizations and work with the support services team when authorization issues arise.
· Onboard Behavior Technicians and Registered Behavior Technicians for their role at the center.
· Collaborate with the assessing BCBA to ensure the initial client intake is conducted in a timely manner and assist in the coordination of the client’s onboarding as it relates to the scheduling and staffing of the client’s sessions.
· Collaborate and build rapport with clients and employees to improve the likelihood of best possible outcomes.
· Follows all policies and procedures, including but not limited to, confidentially and mandated reporting standards as set by the Cross River Therapy team.
· Assist the clinical team in preparing stimuli for client services.
Job Requirements:
· Bachelor’s degree
· At least two years of related experience working in a health care setting.
· Familiarity with the field of autism spectrum disorder and ABA preferred.
· Experience working in a multi-disciplinary team setting preferred.
· Computer systems fluency and ability to learn new programs rapidly.
· Experience in either a recruiting, sales, staffing, or scheduling role.
· Strong work ethic with an attention to detail and effective communication.
· Knowledge of general health insurance billing preferred but not required.
· Understanding of HIPAA and adherence to all policies.
· Ability to pass background clearance and reference checks.
· Works ethically and with integrity.
· Demonstrates accuracy and thoroughness.
· Ability to bend, kneel, crouch, and spend time on your feet as well as an ability to lift items up to 25 pounds on occasion.
Salary: $35,000-$45,000 per year
