BACKGROUND:

Crowden Music Center in Berkeley is a non-profit organization where students come to receive a world-class education with music at its core. Founded in 1983 by Scottish violinist Anne Crowden, today Crowden serves an annual audience of 12,000 with a rich array of workshops, events, and concerts. Each year, more than 1,600 music students of all ages and levels of ability participate in Crowden’s private lessons, music classes, ensembles, and summer programs for the general community. Crowden’s flagship program is The Crowden School, the first of its kind in the nation: a coeducational day school for grades three through eight that provides a transformative education with chamber music at the heart. Crowden’s distinctive educational offerings also include the John Adams Young Composers Program and renowned chamber music programs for both youth and adults. In addition, Crowden is an active center for music rehearsals, performances, and recitals for students and professional musicians. It plays an important role in music education in the greater San Francisco Bay Area.

SUMMARY:

Reporting to the Chief Operating Officer, the Operations Supervisor works to maintain an efficient workflow and smooth communications throughout the Center. Specific responsibilities include scheduling of campus facilities, overseeing staffing for evenings and weekends, oversight and maintenance of computer, audio/visual and office equipment, tech support for faculty and staff in the use of equipment, and acting as the main point of contact for rental use of the facility.

Work hours are generally 10am-6pm Monday-Friday, with some flexibility required to support evening or weekend building needs.

DUTIES AND RESPONSIBILITIES:

The Operations Supervisor works in close partnership with the Chief Operating Officer, understanding priorities and anticipating needs. Duties include, but are not limited to:

Personnel Management

· Hire, train and supervise a team of part-time receptionists to staff the building on evenings and weekends.

· Arrange for relief coverage for operational duties when employees utilize time off or are absent.

Facilities Coordination

  • Generate and maintain a central facilities-use calendar.
  • Facilitate communication among departments to establish and balance building needs, acting as ultimate authority when conflicts arise.
  • Communicate across departments about building closures, upcoming scheduling issues, and important events.
  • Maintain the office and lobby spaces, including proper signage and displays.

· Liaise with maintenance staff about building issues.

· Designate and maintain campus storage areas.

Equipment Coordination

  • Act as a primary internal resource for technical equipment, including computers and related accessories, projectors, sound and lighting systems, recording equipment, etc.
  • Act as the primary point person for questions about office machines such as the photo copier, telephone system, fax machine. Schedule maintenance and repair services, and handle licensing contracts.
  • Act as the main liaison with IT Services to troubleshoot computer and IT issues.

Rental Services Manager

  • Respond to inquiries regarding potential use of Crowden facilities including explanation of policies, availability and the generation of cost estimates.
  • Negotiate and generate rental contracts, collaborating with customers on development of their event, negotiating technical and equipment requirements.
  • Generate and maintain a central rental calendar and file of event details such as contact information and copies of contracts.
  • Coordinate with Staff Accountant to ensure that rental payments are properly processed and managed, and that rental accounts are current.
  • Consult with the Chief Operating Officer in developing policy and pricing for the rental program.

General Administration

  • Order office supplies, handle supply requests, and keep a running inventory and budget.

· Keep internal forms up-to-date and ensure their proper usage across all departments.

  • Maintain mailboxes, copier codes, computer logins, sign-in sheets, and key assignments for faculty and staff.
  • Maintain staff emails and email distribution lists.
  • Provide general support for staff transitions including establishment of network logins, computer setup and reconfiguration, facilitate issuance of building keys and codes, wesbite updates.
  • Develop and maintain written procedures.

· Serve as a member of the Emergency Planning Committee.

  • Attend administrative staff meetings as requested.
  • Other duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree or equivalent experience.
  • 1-3 years' experience in a lead/supervisor/manager role.
  • Experience in the oversight and maintenance of computer, audio-visual and office equipment.
  • Excellent oral and written communications skills.
  • Highly organized, with superior problem resolution and analytical skills.
  • High level of interpersonal and customer service skills.
  • Proficiency in the use of Google Suites, MS Word and Excel.
  • Experience with salesforce or similar CRM database.
  • Experience in a school setting or educational environment; experience working in a small, non-profit organization a plus.
  • Ability to exercise discretion and maintain confidentiality.
  • Comfort working independently, but also a willingness to collaborate effectively with others.
  • Ability to remain calm under pressure.
  • "Can-do" attitude; sense of humor.
  • Willingness and ability to do light lifting.
  • Knowledge, understanding, and commitment to Crowden Music Center mission, vision and core values.

Compensation:

$25/hour or commensurate with experience. Group medical insurance beginning on the first of the month after 90 days of employment.
