What are the responsibilities and job description for the Account Manager position at CSI Accounting Services?
WHAT IS REQUIRED OF THE ACCOUNT MANAGER POSITION?
A. To be completely responsible for all accounting, tax, and consulting matters for a section of 60-80 clients in a dedicated and professional manner.
1. Staff Accountants
a. Monitor the bookkeeping production as it relates to the clients in your section.
Take action if the production falls below what is required.
b. Answer processing and accounting questions.
c. Review monthly client reporting to assure that the clients are reporting properly and timely. Take action if any are not.
d. Participate in weekly department meetings. Include work status and production as a recurring topic at those meetings.
e. Along with the other account managers, assist with training and supervision of staff accountants.
2. Current Clients
a. Maintain proactive, meaningful monthly client contact and document it.
b. Review monthly financial statements within one business day of completion by the staff accountant unless on vacation or other approved absence.
c. Monitor profitability per client by helping with the semi-annual fee review process.
d. Bring scope-creep issues and other fee adjustment needs to the attention of the department manager as they arise. Address these issues with the client before performing any work.
e. Coordinate all consulting work outside the normal scope of work with clients, including any additional billing required.
f. Handle and resolve tax, accounting, and other questions from clients.
g. Return all client communication timely and courteously before you leave for the day.
h. Train your clients to work within our system.
i. Re-install poor reporting clients in your section as needed.
3. New Clients
a. Attend and lead Initial Strategy Sessions using the Client Accounting Binders
b. Make sure that new clients become established in all applicable aspects of our system.
c. Review all aspects of the new client with the staff accountant before passing them off.
d. Oversee the processing of the back work.
e. Complete all items in the binders, including the post-installation checklist.
f. If applicable, prepare all back tax returns.
g. If applicable, coordinate entity changes.
4. Tax Season
a. Prepare business and personal tax returns for all clients in your section.
b. Manage the distribution of tax organizers
c. Attend and lead tax-planning discussions in the fall months with all clients in your section.
d. Maintain and control quarterly tax estimates throughout the year for business and personal tax returns where applicable.
e. Handle correspondence from taxing authorities for your clients.
B. Other Duties
1. Attend and participate in weekly department meetings to review production, new client status, profitability on accounts, client problems, etc.
2. Attend and participate in monthly Account Manager meetings.
3. Along with other managers, help with software conversions and updates.
4. Attend annual, virtual, business and personal tax seminars.
5. Maintain all licenses related to the position, including all required continuing education.
6. Prepare monthly production and growth reports. Deliver them timely to the Accounting Department Manager
7. Follow all company procedures and systems.
8. Dress and act professionally, especially when dealing with the public.
9. Maintain a neat, clean, and organized office space.
10. Arrive on time to work and to client appointments.
11. Take a leading role in expanding additional firm services to your existing clients.
12. Think of ways to improve office efficiency.
13. Help make the office a smooth-running and positive place to work.
14. Participate in all extracurricular activities, such as birthday or holiday parties, either during or after hours.
15. Maintain a positive attitude – the client is the most important person.
C. Expanded Section on Client Communication.
1. Providing above-average customer service to all clients in your section is a requirement.
2. You must comply with our client communication expectations.
3. These include responding to emails, calls, text messages, and other forms of client communication by the end of the day for communication received before 3pm and by 12pm for communication received after 3pm. This does not require you to have the answer for the client within these timeframes but does require a response to the client as to when you will respond with the information requested.
4. If you are out of the office for any reason and unable to check emails, use your out of office function on your email and indicate when you will be available to respond. Also, provide an alternative contact person that the client can communicate with for a faster response in your absence.

1. Provide PM2C2 to all clients in your section every month.
2. Document the following aspects of this.
a. Date of communication
b. Form of communication
c. Who initiated the communication
d. What topics were discussed

a. When is the next PM2C2 discussion scheduled?
b. Agenda for the next one
c. Homework for either the accountant or the client to prepare for the next one
