Title: Office Administrator/Manager
Location: Mt. Vernon Washington
Job Summary
This is a full-time, local only Prior experience managing an office for one of the following industries are preferred:
1 An industrial field service company-
2. EPC construction company
- 3. High-volume professional/technical staffing company
Essential Job Functions/Duties
Onboarding of candidates with drug screening, physicals, safety training nationwide

Administer HR policies and programs including employee benefits, leaves and other HR related items.

Answer HR related questions related to HR policies and procedures. Refer more complex HR questions to Campos EPC HR Manager for resolution.

Work with corporate HR to make title/salary changes Input and coordinate timekeeping data weekly, enter hours, per diem & mob/demob

Review and interpret Customer Contracts

Setup New Customers, Project Contracts, Project Rates and Projects in accounting system

Maintain customer budgets in finance and accounting system

Prepare Customer Invoices
-
Issue purchase orders for drug screens, safety training as needed

Issue Invoices to Customer through various channels
-
Compile and maintain documents and records of all billings
-
Process payroll weekly in accordance with customer requirements
-
Coordinate appropriate pay arrangements with HR
-
Coordinate workers compensation coverage with our CFO
-
Coordinate with legal as needed
-
Process credit memos, additional billings and accounts receivable adjustments
-
Handle Billing inquiries from the customers
-
Maintains Accounts Receivable for month end closing preparation
-
Manage aged bills and inform customers regarding payments including collections

Issue Customer account statements

Maintain accounts payable ledger and company credit cards
- Reconcile cash and manage cash flow in accordance with company needs
Qualifications and Competencies
Demonstrated knowledge of accounting and understanding of the general ledger accounts and how they relate to invoices and budgets, as well as reconciliation procedures

Demonstrated ability to work collaboratively within all company departments as well as with any customers regarding billing inquiries and collections

Demonstrated ability to meet company and customer billing deadlines

Exceptional attention to detail, ability to multi-task, work successfully under pressure, and effectively prioritize and manage time and workload to meet company needs

Proficient in Microsoft Office

Proficient in Applicant Tracking System

HS Diploma or equivalent
-
Available to work weekends & evenings
- Working knowledge of ERP system

The Field payroll administrator will provide support to the Installation team by carrying out general administrative duties and assigned tasks. This role involves data entry, timesheet submittal for both VI and Labor Providers, updating records, and will support the Superintendent as needed. The Superintendent Assistant will report directly to the Superintendent.
