The Project Launch Coordinator plays a crucial role in supporting the planning, coordination, and execution of project launch activities. Working closely with the Project Launch Manager, this individual will assist in various aspects of project management, documentation, scheduling, and stakeholder communication to ensure the successful delivery of the project. The Project Launch Coordinator will serve as a key support role within the project team, contributing to the overall efficiency and effectiveness of new project launches.

Your Primary Duties will Include:
Collaborate with the PLM to gather requirements from internal and external parties that define a successful launch, ensuring a comprehensive understanding of client expectations.
- Work closely with Sales, CAMs, Marketing, Finance, and Production teams to coordinate all internal steps defined in the customized launch plan, ensuring seamless execution and adherence to project timelines.
- Assist in developing and organizing all necessary documentation, schedule meetings, project timelines, and define milestones to facilitate efficient project management and tracking.
- Serve as a point of contact for client interactions, providing updates on project progress, addressing concerns, and maintaining positive relationships throughout the launch process.
- Collaborate with the PLM and relevant stakeholders to define and implement the project plan/scope, goals, and deliverables, ensuring alignment with client requirements and expectations.
- Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion, facilitating a shared understanding of project milestones, tasks, and responsibilities.
- Identify and assess project risks, develop mitigation plans, and manage project dependencies and critical paths to proactively address potential obstacles and ensure successful project outcomes.
- Assist in developing training plans, schedules, and coordinating training sessions, certification programs, etc., in collaboration with the delivery team, ensuring effective preparation and skill development for project implementation.
- Build, develop, and nurture business relationships critical to the success of the project, ensuring effective collaboration and alignment with stakeholders' needs and objectives.
- Collaborate with clients and internal technology teams to understand technology requirements, establish procurement processes, coordinate testing, address security concerns, and ensure smooth implementation.
- Monitor the progress of all activities leading up to the launch date, collect and analyze status reports from the project team, troubleshoot problem areas, and provide regular updates to the PLM and stakeholders.
- Monitor progress through the progression period to a business-as-usual (BAU) state, ensuring a seamless transition and implementation of the newly launched service.
- Assist in developing permanent reporting formats, distribution methods, and communication methodologies to effectively communicate project status and outcomes. Collaborate with the Finance team to ensure accurate billing and costing are set up.
- Support the PLM in managing the hand-off process to the Customer Account Manager (CAM), ensuring a smooth transition and transfer of project responsibilities.
Attributes:
- PMI or other Project Management certifications
- Project coordination or project support role, preferably within a fast-paced environment.
- Knowledge of project management methodologies and best practices is a plus.
- BA/BS degree
- Knowledge of Transportation/Logistics industry
- BPO experience preferred
- Proficiency in project management tools and software applications, such as Microsoft Project, Trello, or Asana.
- Communication - Effectively express ideas and information through spoken and written language; Ability to elicit cooperation from a variety of sources including upper management, clients, and other departments; Actively listens and incorporates input from others.
- Planning & Organizing - Effectively organize multiple assignments, sometimes of a complex nature or involving competing priorities, to produce work products that are accurate, thorough, and on time.
- Client & Account Management - Develops, maintains client relationships; Capable of complex scenario analysis and planning of contingencies; Demonstrates confidence in managing client resources.
- Technical Knowledge and Skills - Able to diagnose process gaps/needs and improve performance; Database and operating systems experience; Solid working knowledge of current internet technologies
