The Job:
Support the Account Executive and partner with other Account Team Member(s) to divide the responsibilities of day-to-day management of 15 internal and external client events and meetings. This role will primarily support corporate communications and media focused initiatives.
- Client Services: Engage in regular, two-way communication with clients to determine event needs, propose solutions, set expectations and execute event details.
- Partner and Supplier Relationship Management: Act as a center-point between clients, internal teams, agency partners, and suppliers to provide direction and drive successful event execution.
- Project Management: Manage a variety of programs and projects from launch through planning, client presentations and execution.
- Meeting Coordination: Support client and internal meetings. Emphasis on providing overall program direction, moderate discussions, develop solutions and/or a POV, create an execution plan, and document next steps and areas for follow-up.
- Timeline Discipline: Develop, maintain, and actively manage event specific timelines including on-site specifications documents.
- Budget Management: Understand budgeting process and how to navigate it develop and clearly communicate budgets and change orders, to both internal stakeholders and clients.
- Event Execution and Production:
- Under direction of the Account Executive, provide management and oversight over the logistics and hospitality execution of 15 events annually.
- Engage preferred vendors and suppliers for execution of all event aspects. Including but not limited to, hotel sourcing, furniture and décor, program staffing, food and beverage.
- Coordinate with both the creative and design teams to inform floorplan creation, event layouts and flow, creative collateral. Inclusive of all client review and approval processes.
- Work alongside the creative and design teams to identify and co-manage graphic matrices, timelines and deadlines.
- Collaborate with internal exhibit account team to identify needs, create unique solutions, present to client and guide execution.
- Act as a representative of the account team during site visits, client meetings, and event execution.
- Understand clients’ business model and processes to effectively drive program-oriented solutions.
- Support Senior Account Director and Account Executive with miscellaneous projects or duties at the request of clients.
The Person:
- Understand, enforce and improve various processes and procedures.
- Ability to collaborate, delegate, and take the lead
- Strong written and verbal communication and presentation skills
- Ability to prioritize and multi-task
- Able to work effectively under pressure, both individually and in a team environment
- Ability to work with deadlines and take over responsibility
- Bachelor’s degree in Business Administration, Marketing or equivalent
- 3 years of live event experience preferred
- Efficient knowledge of MS Office Programs (Word, Outlook, Powerpoint, Excel, Teams)

Work is performed in a typical office environment and/or on-site during event execution. Ability to sit or stand for prolonged periods of time in a climate-controlled office environment. Ability to lift up to 50 pounds of office material. Willingness and ability to travel (25-35%) and work extended hours as necessary.
