ABOUT THE JOB
HB is looking for a Project Coordinator who will help simultaneously manage multiple projects from order creation through to project closeout. This person will represent HB's business interests with orders ensuring a positive customer experience from start to finish.
WHAT YOU'LL DO
- Assist sales in establishing product costs/discounts and quote creation for customer.
- Oversees deliveries and installations including getting labor quotes and providing all necessary details regarding the product, project, timeframes, and site conditions for accuracy.
- Review, organize, and enter orders focusing on accuracy of the pricing, product, scope, and install plan.
- Communicates with customers regarding order status, punch list resolution and the scheduling of orders for delivery/installation
- Provide regular updates to the customer with the status of their order including any progress, date changes, issues, change orders, and damages. Provides clarification and answers for customer’s regarding any issues or questions on orders.
- Checks acknowledgments against orders and resolves discrepancies with factory
- Work in a team environment, partnering with internal resources to ensure that all elements of a project are in sync and adhere to the cycle of service.
- Create work orders and manage the order delivery and installation schedule in coordination with the HBS team and customer. Communicate that schedule, milestones, and necessary tasks to all appropriate parties involved.
- Coordinate our installation schedule with the overall GC construction schedule and communicate requirements with the associated sub-trades.
- Manage and oversee installation process which includes working with HB Services (HBS) to create installation quotes, print installation drawings, provide copies of installation drawings to HBS, and coordinating installation schedule through HBS.
- Manage punch list and warranty items in a timely manner with the factory and coordinate the installation and issue resolution with the customer.
- Confirm project completion and ensure all invoicing is timely and accurate.
- Provide a close-out packet to the customer providing all the information on their order including final plans and the warranty information on the products they purchased.

EDUCATION / EXPERIENCE
A background in Customer Service or Project Management. Experience in Commercial Furniture, Architectural Solutions, Condensed Filing, or Interior Design is preferred.
WORK ENVIRONMENT
The work environment will vary for office work versus work that takes place on a construction site. The physical office environment is consistent with most professional service organizations. The noise level in the work environment is usually quiet. While performing the duties of this job, the employee is required to frequently go on site to inspect a project and may be exposed to ongoing construction and various weather conditions. The noise level in this work environment may range from moderate to loud. This position is also performed in outside weather conditions and may require personal protective equipment (PPE).
