What are the responsibilities and job description for the Events Planner (Hybrid) position at DePaul Talent Acquisition?
Reporting to the Events Manager, the Events Planner is responsible for organizing outstanding and unforgettable college-wide events in support of the Driehaus College of Business’s strategic goals for strengthening brand awareness and stakeholder engagement including undergraduate students, graduate and doctoral students, faculty and staff, and corporate and community partners. Responsibilities include: all event logistics, including marketing, invoicing, assisting with participant recruitment, securing space and communicating with venue staff, catering, student/alumni usage tracking, event set-up, producing detailed event reports, ordering giveaways, developing agendas, and evaluating success afterward.
What You'll Do:
Establish project plans including timelines and checkpoints, locations, formats and logistic details for events including, but not limited to, Commencement, Honors Convocation, The Driehaus Cup, open house(s) and various college engagement opportunities.
• Responsible for working within established budgetary guidelines for each event while negotiating rates for related items.
• Arrange planning meetings with internal/external clients when necessary.
• Meet with faculty, staff, University administrators, various University departments, student organizations, and the surrounding community to establish and foster working relationships. Work with vendors/suppliers.
• Develop, write, edit and approve printed communications and materials including letters, invitations, brochures, programs, certificates, and program scripts. Provide graphic design and create promotional materials, flyers, signs, forms and banners.
• Recruit volunteers and assign responsibilities for events as appropriate.
• Conduct post-event evaluations and wrap-up meetings. Determine effectiveness of each event and make changes for future events where appropriate. Maintain careful records of all activities.
What You'll Need:
Bachelor’s degree preferred. At least three years of proven work experience in event planning in an academic or non-profit setting.
• Able to stand for extended periods of time. Motor dexterity skills for extended computer, keyboard and telephone use. Ability to walk throughout the day. Ability to occasionally lift up to 25lbs.
• Proficient in the use of Microsoft Office suite software applications, resources for designing invitations/programs, and web-based event listing/RSVP applications, such as Eventbrite.
• Excellent oral and written communication skills.
• Ability to anticipate, analyze and propose solutions to issues and challenges.
• Strong customer service, organizational and time management skills; meticulous attention to detail.
• Ability to multitask and manage projects on deadline and within approved budget.
• Demonstrated interpersonal skills to establish and maintain good working relationships with diverse groups.
• Ability to take and give directions, take appropriate initiative and possess a flexible and upbeat demeanor.
• Ability to work independently and as part of a team.
