Desires by Mikolay is a fine jewelry & custom design center located in Chappaqua, NY. We have a warm, fun, challenging, and fast-paced retail environment.
Main duties: Provide executive level support to business owners. Assist executives with business related projects and tasks. Manage the day to day office operations. Strong customer service skills for relationship management with clients and vendors.
The responsibilities of the Office Manager include but are not limited to:
Office duties
- Reconciling received payments daily
- Track, analyze and generate sales related statistics
- Work directly with bookkeeper to monitor, review and reconcile expenses
- Reconcile and manage petty cash
- Manage office and retail supplies to allow for maximum productivity
- Evaluate, create, implement, enhance and communicate company process flows and policies
- Monitor the online store to ensure up to date products/pricing and handle web clients orders/requests and fulfillment
- Troubleshoot basic IT issues
- Manage online appointment booking
- Compile donations
Human resource duties
- Serve as a liaison with PEO company
- Handling time off requests and staff schedule
- Compiling, distributing and approving commission reports
- Approving bi-weekly payroll
- Submitting and approving 401k reports
- Supply monthly individual and store goals
- Running clientele lists for sales staff monthly. Preparing special event customer lists/targeted promotions as needed.
- Assist with performance reviews, interviews, hires and employee exits
Inventory management
- Managing, organizing and processing incoming and outgoing inventory checking invoices for accuracy against receiving
- Creating purchase orders
- Processing memo items and ensuring returned/invoiced in a timely manner
- Correspondence with vendors on special orders, stock orders, inventory errors, stock balancing and more
- Shipping station and processing
- Inventory product in point of sale with descriptions and images
Requirements
- Office management experience
- Microsoft Excel/Google sheets proficiency
- Experience with Mac computers
- Positive ‘can do’ attitude
- Impeccable customer service
Nice to have
- Prior jewelry store experience
- Inventory management
- Lightspeed or Cloud based point of sale experience
- Shopify experience
- Ability to cross train to assist on sales floor when needed
Schedule is 9:15-6:30 Tuesday through Saturday
Salary & Benefits
Salary $65,000 to $90,000 commensurate with experience
